Position Summary

Position Summary:
The US Payment Operations team is responsible for processing the accounts payable and cash management transactions for the Americas region. This position manages the teams responsible for the day-to-day supplier management (non-deal related), SAP Ariba Network (AN), and firm and fund invoice activities. This position is responsible for ensuring invoices submitted for processing are properly and timely assigned to team members - proactively identifying and resolving issues in workflow. This position also manages the periodic regulatory reporting requirements. The ideal candidate has a strong operations background, proven track record for process improvement and has successfully led and developed junior team members. This candidate would also have a solid understanding of accounting and payment processes, is detail-oriented with excellent organizational, communication, analytical and critical thinking skills. The candidate must be able to thrive in a fast paced, deadline driven and high volume environment and easily prioritize competing tasks for their work, and their direct/indirect reports while consistently producing quality results.

Key Duties/Responsibilities

Primary Responsibilities:
Daily Responsibilities

  • Request Management
    • Maintain internal trackers for supplier, employee, Service Now and AN requests and monitor status to ensure requests are moving through the processes timely.
    • Manage the process for assigning inbound requests to team members based on the nature of the request; assist with escalation procedures and provide tactical guidance to team.
    • Liaise with AlpInvest, Aviation, and regional Payment Operations teams to ensure requests are properly transferred as appropriate.
    • Facilitate Service Now status meetings with team members.
    • Provide weekly reports and metrics to AVP and Principal.
  • Supplier Management
    • Review and approve Staff's work for supplier (non-deal related) and employee setup / modifications to verify completeness and accuracy of supporting documentation, tax forms, wiring instructions, contact details and callback summary.
    • Provide guidance to Staff when information is unclear; assisting with communication sent to suppliers or internal stakeholders to request additional documentation or support.
  • Firm & Fund Payments
    • Manage the process for assigning invoices submitted across all methods (inbox, AN) to team members or regional teams based on the supplier and/or payment category.
    • Approve invoices in the Payment Operations Manager and Exception workflow steps.
    • Assist with troubleshooting payment issues and partner with Banking Operations, GTS/EPOST or banking partners as needed.
Other responsibilities
  • Manage the monthly supplier review processes (active status and spend classification); coordinate with regional Payment Operations teams and GTS/EPOST.
  • Manage the monthly 1099 transaction reviews and correction process, including coordination with Tax, HR/Equity, Fund Management, and GTS/EPOST; maintain annual calendar and ensure milestones are met.
  • Manage the monthly outstanding check liability review to determine if payments need to be voided and reissued, or escheated to the respective state.
  • Review monthly Sales & Use Tax and FATCA analysis; assist with 1042 withholding and reporting (when applicable).
  • Serve as point of contact on audits and coordinate requests for information; maintain SOX documentation for all Payment Operations processes;
  • Develop, train and coach staff to ensure optimal performance and success across the team;
  • Continuous review of the processes and tools; recommend and implement changes to keep up with business and stakeholder needs;
  • Special projects as needed.


Qualifications

Requirements:
Education & Certificates:
  • Bachelor's degree in Accounting or Finance field, required
Professional Experience:
  • Minimum 5 years of experience in an Accounting environment, with some supervisory experience, required
Competencies & Attributes:
  • Ability to manage a team in a fast paced, competing priority, high volume and deadline driven environment
  • Excellent communication, organization, time management skills, with a demonstrated track record in process improvement (idea generation and implementation)
  • Strong attention to detail
  • Proactive and able to independently anticipate issues and solve problems
  • Exceptional customer service, ability to provide accurate and timely support for internal and external stakeholders
  • Strong working knowledge of PeopleSoft, SAP Ariba, Concur Expense, and Microsoft Suite, preferred
  • Previous experience with 1099, 1042, FATCA and Sales & Use tax reporting, a plus
