Position Summary

This role will support the Sr. Manager, Field Team and the Field Team Operations Lead with the administrative functions for our Travel Directors and all Destination America (DA) guided vacations in North America. Individual will help to manage both Travel Director and trip-specific data on internal platforms, and will manage and oversee inventory for tour supplies, providing Travel Directors with supplies for each tour operated throughout the season. Individual will partner with the various TTC brands on collateral updates, liaise with DA's third party ground operators to ensure continuity of branding and trip supplies, and will also liaise with internal TTC departments for additional support to Travel Directors.

Duties and Responsibilities

  • Support the Travel Director team out on the road: proactively respond and assist with password resets and other requests in a timely manner, manage contact information and preferences, and provide check-in calls throughout the season.
  • Train new Travel Directors on brand supplies and how to set up their trip supplies for a successful guided vacation. Assist with Travel Director onboarding and liaise with IT team to set up equipment and passwords. Update new Travel Director information in DA's internal platforms, and set up TD social media accounts by brand and monitor activity.
  • Highlight areas for improvement by trip series to operations and travel experience development teams by monitoring Customer Tour Questionnaire data and guest feedback within Salesforce. Provide support to guest relations by liaising with the operations team and Travel Directors to solve any outstanding guest related issues or queries.
  • Oversee all trip materials for various TTC brands and Key Account brands operated by DA and our partners in North America, Central and South America. Correspond with our global marketing teams to understand branding requirements and changes for each operating season.
  • Organize, assemble, and ship all Travel Director and Tour Manager supply boxes for timely delivery on each departure operated by DA within North America, and maintain logs of supplies shipped. Work closely with the Field Team and Operations Managers to anticipate needs of the team and of our Travel Directors, and ensure all supply needs are met prior to and during trips.
  • Liaise with our third party ground operators and coach partners to understand their supply needs for the season and ensure branding requirements and quantities are met. Based on these needs, individual should anticipate demand and forecast inventory levels, ordering appropriate quantities for both DA and our various partners for the season.
  • Update trip information in internal systems, including departure status and assigned Travel Directors. Allocate Travel Directors to assigned trips.
  • Partner with our Finance team to process reimbursement checks and provide customer service for Travel Directors by liaising with Finance team on their behalf, where beneficial.
  • Assist with the annual Travel Director meeting. Partner with Travel Directors to capture RSVPs and flight information. Assist as needed with meeting logistics.
  • Assist with Travel Director year end reviews. Collate timeliness of reporting and assist with NPS and individual scoring.
  • Assist with other duties and responsibilities as needed.

Qualifications
  • Experience in an office administrative or support role required.
  • Above average knowledge of Microsoft Word, Excel and Outlook required. Previous experience in Salesforce preferred. Ability to learn in-house reservation system. Prior experience in inventory management or warehouse management preferred. Ability to navigate various social media platforms and previous experience working with an iPad is preferred.
  • Must be a team player with a positive attitude, have excellent verbal and written communication skills, maintain a customer-service-centric outlook, be attentive and responsive to inquiries, and be proactive in problem solving.
  • Vision correctable to 20/20 with reasonable accommodation required. Ability to look at a computer monitor for long periods of time with reasonable accommodation required.
  • Ability to lift 40 lbs with reasonable accommodation preferred. Ability to stand and sit for long periods of time, and use a computer mouse and keyboard for long periods of time with reasonable accommodation required.
  • Must be able to prioritize and juggle multiple tasks, meet deadlines, follow up to inquiries as needed and in a timely manner, work under-pressure and work diligently with a sense of urgency. Must be reliable and dependable. Must be impeccably organized and possess strong attention to detail.
