Position Description

The Special Events Specialist plays an important role in the Development team at The Home and is responsible for developing, planning and management of all special events including, but not limited to, fundraising, stewardship and peer to peer events. The Manager acts as team leader overseeing all logistics, standardization and components of event preparation and execution. This role requires a candidate that is a self-starter, a strategic, creative, results-oriented, collaborative team member who supports The Home's vision for philanthropy while maximizing results to achieve all goals.

Essential Duties and Responsibilities

  • Responsible for the planning, management and execution of fundraising special events (including, but not limited to, Voices & Visions, Golf Tournament and Gingerbread Decorating Contest) as well as all volunteer engagement events for corporate partnerships and peer to peer event all in coordination with the Director of Corporate Relations & Events
  • Supports in the identification of sponsorship prospects, direct in-kind solicitations, reporting and budget management of the events
  • Organize and implement all mailings associated with invites, solicitation and thanking event participants and sponsorship partners
  • Responsible for all event related materials including ads, sponsorship forms, attendee guest lists as well as tracking all participant information
  • Work closely with MarCom, selected board/committee members, other department staff to accomplish overall fundraising goals and donor relation strategies
  • As needed, write event descriptions and emails for campaigns associated with special events as well as work with MarCom for postings on The Home's website, social media and in newsletters both pre and post events
  • Manage the auction (when appropriate) for The Home's largest annual fundraising event, Voices & Visions
  • Act as point of contact for all event vendors
  • Enter and track special event data in Raiser's Edge database, including attendance, event sponsorship, advertising specifications and all other relevant attendee information, and report on results
  • Collaborate with CRM Manager on special event websites including, but not limited to Bidpal, First Giving and any other platforms
  • Research new event modules and software to ensure the agency is using the most effective software and work with the Director of Operations to ensure they integrate into existing systems

Education and Experience
  • Bachelor's degree required
  • 4-5 years fundraising event and relationship management experience
  • Exceptional communications (verbal and written), interpersonal and organizational skills
  • Proficiency with word processing, spreadsheets, and development software such as Raiser's Edge and Bid Pal required
  • Ability to work closely with others and remain flexible to changing needs
  • Some evening and weekend hours required to meet deadline and for specific events
  • Some local travel: car required

Physical Requirements
  • Standard office setting or remote environment
  • Ability to communicate effectively both verbally and in writing.
  • May spend extended period on the telephone, at the computer terminal or operating other office machines, requiring eye-hand coordination and finger dexterity.
  • Evening and weekend hours as needed.
  • Some travel throughout Massachusetts and the Northeast should be expected.
