GENERAL SUMMARY:

Under the general supervision of the assigned manager, coordinate consignment inventory for different customer site by processing in SAP and replenish inventory levels, filters Customer Service Representatives order entries; download open sales order report and picking report daily to assure on time shipment to the customers. Acts as liaison between customer service and warehouses, purchasing, and production for shipments. Assures that appropriate records are maintained. Backs up absent Customer Service Representatives positions.

ESSENTIAL FUNCTIONS:

  • Coordinate Customer consignment inventory to assure the accurate inventory by processing in SAP when customer use the material and process orders to replenish.
  • Downloads Open Sales order report to Excel daily to assure on time shipment to customers; checks SAP produced Delivery notes, produces Delivery notes manually according to the parts availability; provides instruction of shipments, communicates to Customer Service Representatives parts availability discrepancies.
  • Downloads Picking report to Excel daily to assure all the Delivery notes have been posted; investigates open Delivery notes and solves discrepancies.
  • Performs as back up to fulfill absent Customer Service Representatives' position (see Customer Service Representative essential functions).
  • Serves customers by providing product and service information;
  • Acts as a liaison between customers and Horiba service/sales department, assists with complaints, orders, errors, account questions, billing, cancelations and other queries; and resolves product and service problems.


  • JOB RELATIONSHIPS:

    Communication/Interface:

    Interfaces with customers and other internal departments to ensure customer satisfaction with orders and shipments.

    DECISION-MAKING AND PROBLEM-SOLVING:

    Under general supervision, resolves conflict of parts availability versus order demands. Decides on proper freight when Customer Service Representatives are not available. Refers complex or unusual problems to management.

    SKILLS AND KNOWLEDGE:

  • High School diploma or GED preferred.
  • Ability to deal with people in an uplifting manner.
  • Ability to solve customer and Horiba concerns.
  • Ability to be a quick thinker, research and troubleshoot.
  • Receive incoming calls and make outbound calls while record all calls in detail.
  • Basic usage computer skills.
  • Requires customer service experience.
  • Basic math knowledge.
  • Ability to organize and prioritize workload.
  • Good interpersonal, oral and written communication skills.
  • Good PC skills (proficiency in Excel).
  • Incumbent typically has a minimum of two years of general clerical and/or customer service experience.

  • Ability to effectively and courteously work within the department to resolve customer complaints and problems.
  • Ability to accurately input and maintain sales related documentation.
  • Ability to provide accurate product, pricing and delivery information in a timely manner.
