Position Summary:

Under general supervision, performs various duties respective to the admission of students to Selective Admittance programs. The Specialist will also fulfill duties required of the Enrollment Office, such as interacting with stakeholders and facilitating admission, registration, production and evaluation and transcripts, and maintaining all permanent records.

Reporting and Supervisory Relationships:

Direct reporting relationship to the Enrollment Services Manager of Technical Support.

Essential Responsibilities:

  1. Facilitates all aspects of the selective admission process for dental hygiene, dental assisting and physical therapist assistant selective admittance programs. Maintains an individual application file on each applicant for each program, produces program specific evaluations, providing guidance to candidates, facilitates the evaluation of coursework per the program criteria, maintains a record of communication with students, maintains and tabulates selection criteria for each applicant per program, etc.
  2. Provides timely and effective communication regarding the applicant status, next steps through determination respective to dental hygiene, dental assisting, and physical therapist assistant students
  3. Effectively communicates with department representatives, regarding the program, general application process and providing requested reports regarding applicants.
  4. Maintains on-line and printed program materials.
  5. Assists the department with information and orientation sessions associated with selective admittance programs.
  6. Assists with the servicing of students interested in other selective admission programs such as nursing, and surgical technology (i.e. answer general questions, assists with sending and maintaining written communication, assists with the tabulation of selection criteria, assists with mailing and attending orientation/information sessions, etc.).
  7. Responds to requests received for information maintained in by the Office of Enrollment Services.
  8. Provides comprehensive value added information to students in order to support functions related to enrollment.
  9. Accepts and processes all electronic and/or hardcopy documents respective to the Office of Enrollment Services.
  10. Registers students for credit and non-credit courses both in-person and by phone.
  11. Maintains applicable registration and census dates associated with each credit section taught at the college each semester.
  12. Processes incoming high school transcripts. Enters waivers, placements, ACT/SAT scores based on information from high school transcript.
  13. Assists in the creation of the permanent student file. Assists with filing folders and documents in hardcopy and electronic formats.
  14. Performs other duties as assigned within the scope of the department, consistent with the role of this position.
  15. Daytime and evening hours are associated with this position.
Working Conditions/Physical Requirements:

Employee is subject to indoor work, protected from weather conditions. Work is sedentary in nature and involves exerting up to 10 lbs. of force occasionally and/or a negligible amount of force frequently/constantly in order to lift, carry, push, pull or otherwise move objects.

Minimum Qualifications:

  1. A.A., A.S., or Associate in Applied Science in Office Technology.
  2. Two years of working in higher education.
  3. Two years of general office experience.
  4. Demonstrated proficiency with the Microsoft Office Suite.
  5. Demonstrated ability to maintain confidential information/records.
  6. Demonstrated effective oral and written communication skills combined with strong interpersonal skills.
  7. Demonstrated ability of being detailed oriented and exhibiting a high degree of accuracy with respect to previous work related responsibilities.
  8. Demonstrated ability to work effectively under conditions of heavy volume combined with stress producing situations.
Preferred Qualifications:

  1. Bachelor degree.
  2. Working knowledge of the functions and operations of a college Admissions Office.
Anticipated Work Hours and Days:

Monday, Tuesday, Thursday, Friday; 8:00am to 4:30pm. Wednesday, 10:30am to 7:00pm

minimum starting-$38,979 salary commensurate with experience
