Prologis is seeking a professional Real Estate and Customer Experience - Construction Coordinator. This position will support multiple managers and team projects. The service goal is absolute customer service, requiring a flexible people person and team player.

Heres how to do that

  • Prepares emails, letters, contracts and other documents using various software packages
  • Provide support through copying, faxing and mailing as requested by assigned staff
  • Maintain current listing of names and phone extensions of all employees in the office
  • Schedule all pick-ups and deliveries for courier service
  • Prepare and code all invoices in PeopleSoft Financials database in a timely manner
  • Assist Property Managers, including but not limited to quarterly billing, A/R follow-up & collections and direct communication with customers
  • Answer and direct all incoming calls in a courteous manner, providing caller with general information, transcribing messages and when necessary directing callers to appropriate staff or voice mail
  • Greet customers and visitors to the office and announce their presence to the appropriate person or department
  • Serves as liaison with IT to coordinate office upgrades and address technology issues
  • Establishes and maintains departmental/project/customer filing in digital/on-line format
  • May maintain calendar of appointments for assigned staff or department.
  • Schedule and organize meetings, conference calls and appointments
  • Prepares items in relation to meetings and events, including but not limited to, creation and assembly of documents for distribution, coordination of site reservation, meal orders, attendance confirmations, participating in/traveling to certain meetings as needed and interacting with attendees to address questions or issues on event
  • Leads the completion and processing of expense forms for assigned staff. Tracks corporate credit card payment schedule and ensures timely processing and payment
  • Assists in creation of department or group budgets and tracking expenses against budget throughout the year
  • Reviews and submits group expenses and invoices for timely processing and payment
  • Coordinates production of monthly reports for assigned customers
  • May serve as member of a team on department related projects which may require research, analysis of data and creation of reports
  • Reviews and distributes mail for assigned staff
  • Works closely with other support staff through cross-training and backup support
  • Ensures assigned office equipment is adequately maintained and secure. Contacts appropriate department to report service issues
  • Order kitchen/breakroom/office supplies and stock accordingly
  • Possesses ability to work in a fast-paced environment
  • Demonstrates ability and success in a fast-paced environment with changing priorities
  • Possesses excellent proofreading, writing and grammar skills as well as attention to detail
  • Can occasionally work extended hours as may be required
  • Is willing to take on other duties as assigned

  • High school diploma or general education degree (GED); and related experience and/or training
  • Proficient knowledge of MS Office Suite (e.g., Word, Excel, PowerPoint, Outlook)
  • Ability to use systems to acquire the necessary data

Target base compensation range of $48,000-$57,000 plus bonus target to be discussed during initial phone interview.
