SUMMARY:

The Office of the Secretary at the University of Richmond supports the work of the University's Board of Trustees. The office works closely with Trustees, Trustees Emeriti , the President's Office and University administration, and other University constituents. The office leads the coordination of Board meetings and events, maintains Board records, and oversees a variety of special projects at the University.

RESPONSIBILITIES:

  • Provide administrative services, including meeting scheduling, drafting and mailing correspondence, managing mailings, ordering supplies, etc.
  • Provide administrative support to the Vice President and Secretary and administrative/logistical/scheduling support to special projects managed by the Secretary.
  • Assist with the development and production of the annual Board Handbook and Directory, including updating information, proofreading, and managing printing.
  • Work closely with Director of Board Operations to process invoices/check requests, expense reports, and journal vouchers and allocate and reconcile departmental purchasing card expenses.
  • Plan and execute receptions/dinners held in conjunction with Board meetings.
  • Assist with on-site execution of meetings and events as needed, including off-campus meetings and events.
  • Serve as primary contact for high-profile guests, to include travel arrangements, on-site staffing, etc.
  • Travel both on and off campus for errands and meeting setup, as needed.
  • Help to maintain meticulous digital and hard copy files relating to the work of the Board, its committees, events, and individual members; assist with digitizing and organizing historical files and records.
  • Assist with management of information on Board website/portal and public-facing website.
  • Act as a point of contact and assist in the answering of inquiries from Trustees, students, faculty, staff, alumni, or general public.
  • Assist with reporting of the University's leadership to various external agencies as needed.
  • Assist with the coordination of Trustee programs, to include creation of invitations, tracking responses, and staffing events.
  • Undertake research and special projects as needed.
  • Other duties as assigned.

QUALIFICATIONS:
  • Strong organizational skills; detail orientation and ability to anticipate work priorities to meet pending deadlines.
  • Knowledge of office management systems and procedures.
  • Strong proficiency in Adobe, Zoom, Microsoft products, including Word, Excel, and Outlook, and ability and willingness to learn Cascade CMS and other new systems and software as needed.
  • Ability to monitor and manage expenditures; knowledge of accounts payable processes.
  • Complete integrity, discretion, and ability to maintain confidentiality.
  • Ability to communicate in a courteous, professional, and timely manner to maintain the level of excellence appropriate to the Board Office.
  • Strong written and verbal communication skills; ability to create, compose, and edit written materials; proactive and service-oriented.
  • Strong sense of accountability and responsibility and commitment to following through to bring all tasks to timely completion.
  • Demonstrated ability to exercise good judgment.
  • Experience utilizing a customer-oriented and service-centered approach.
  • Ability to build cooperative, productive relationships and work effectively with a wide range of constituencies in a diverse community.
  • Knowledge of organizational structure and cyclical activities in higher education; ability to learn University of Richmond policies, procedures, and protocols.
  • Required: Must have a valid Driver's License and be able to produce a driving record with a minimum of 3 years of driving history in good standing

EDUCATION & EXPERIENCE:
  • Associate's or Bachelor's degree preferred, comparable work experience in similar environment will also be considered.
  • 3-5 years administrative experience, preferably in higher education or corporate setting

WORK HOURS:
  • Part-time, non-exempt position
  • Exact schedule is flexible, less than 1,000 hours per year
  • Occasional evening and weekend work will be needed
  • Work from home also possible

SALARY STRUCTURE:
Pay Grade 5 (Hiring Range $18.24 to $24.17 per hour)
