Job Description Summary
This position coordinates and manages contract administration and the transition of suppliers to the Cushman & Wakefield (C&W) system as related to procurement activities across the portfolio of sites on a Facility Management Client account. This position will report to the Sourcing Manager and receive direction and delegation on other tasks as required. This position is highly visible with internal & external stakeholders.
Job Description

  • Responsible for negotiation, preparation, execution and interpretation of contracts and contracted services, and ensure appropriate contractual records retention plans are in place
  • Compliance enforcement of all information related to facility contracted services reporting and performance
  • Advise management regarding contractual rights, obligations, and other contractual matters, such as effective use of resources and legal issues
  • Track expenditures made to carry out facility services activities, including advertising and marketing, production and labor, maintenance, or project activities, such as construction of buildings
  • On-boarding of suppliers by obtaining compliant COIs, W-9s, bids, and SOWs and transition suppliers into the C&W system
  • Oversee assigned contract vendor relationships associated with the account
  • Maintain organized and accurate records of all contracts for the account
  • Be single point of contact for assigned contracts
  • Manage invoice processing for assigned contracts
  • Employ C&W best practices, policies, processes, tools and templates as well as engage with Category Managers and preferred suppliers in the execution of procurement responsibilities
  • Ensure all contracting activities, processes and procedures are compliant with established C&W policies and procedures
  • Initiate contract amendments or extensions of contracts as needed
  • With Sourcing Manager, analyze account-wide spend and continually identify & update opportunities for value creation
  • With Sourcing Manager, oversee the analysis of contracts and past operations, trends and costs, estimated and realized revenues, administrative commitments, and obligations incurred
  • With Sourcing Manager, develop and facilitate RFPs, analyze responses, negotiate and use other techniques as required to obtain the expected results
  • With Sourcing Manager, identify and manage the selection and vetting of suppliers
  • Participate at appropriate level & frequency in all meetings
  • Generate and distribute all necessary and requested reports
  • Maintain good business practices according to established C&W policies and procedures
  • Resolve issues from the client with respect to supplier performance and quality
  • Develop and maintain solid relationships with C&W Portfolio Managers, suppliers and clients
