Role overview

The Payroll Tax Specialist will oversee the complete set up and registration of state, local and federal taxes, ensuring timely processing, accuracy and compliance with all federal and state regulations. Responsibilities include managing payroll tax compliance and serving as the expert for taxation of wages, equity compensation, benefits, and state and local mandates. Responsible for monitoring, managing and reconciling payroll taxes at the employer and employee level. Will also support the processing of payroll, maintaining related records and contribute to enhancements of payroll policies and procedures.

A day in the life...

  • Supports the Payroll team in the preparation and processing of payroll.
  • Analyzes and responds to complex matters, processing adjustments as necessary, requiring comprehensive knowledge of payroll policies and procedures.
  • Ensuring compliance with timely and accurate reporting of all payroll taxes.
  • Review tax reconciliation and balancing for accuracy, proper documentation and timelines.
  • Assist with the implementation of payroll tax planning and strategies and ensuring all tax inquiries are addressed timely and accurately.
  • Manage wage garnishments with external vendor.
  • Assist with Year-end taxation and analysis.
  • Perform analysis and communication for unique employee tax scenarios related to relocation, global mobility and work location specific taxation, among others.
  • Responsible for accurate set up and system maintenance of SUI rates, and verification of rates applied by states. Ability to interpret, communicate, and execute changes as needed.
  • Responsible for new registrations and power of attorneys for federal, state and local tax agencies.
  • Research federal, state and local laws/regulations related to FLSA, payroll tax withholding, and benefits. Partners with Legal, Finance, and People & Culture in implementing and administering plans to ensure compliance.
  • Partner with 3rd party vendor on inquiries/notices from federal, state and local labor and tax agencies on payroll related issues.
  • Coordinate tax filing amendments with the 3rd party vendor as needed.
  • Responsible for 401k Administration, including biweekly reporting, compliance, match processing and vendor management.
  • Assist as backup for processing bi-weekly and off-cycle payroll, as well as ensuring regular compliance and accuracy.
  • Execute policies and procedures consistently and ensure compliance with key SOX controls. Continue to monitor and maintain for accuracy and relevance.
  • Assist with preparation and documentation of quarterly financial audits.
  • Reviews and balances monthly, quarterly and annual filings as prepared by the 3rd party vendor.
  • Responsible for accurate taxation on equity transactions.
  • Manage tax related matters associated with acquisitions.
  • Develop reports and perform data analysis as needed.
  • Provide knowledge, development and mentorship to team members.

What we are looking for...
  • 5+ years of experience performing all functions of payroll and tax
  • Bachelor's Degree or equivalent experience in Accounting, Human Resources, or Finance
  • Working knowledge of Workday Payroll
  • Advanced knowledge of Excel and proficiency with all Microsoft Office applications
  • Knowledge of accounting principles and SOX requirements
  • Working knowledge of multi-state taxation compliance
  • Knowledge of federal, state and local laws pertaining to payroll, taxes and filings
  • Understand and apply complex tax laws and regulations with attention to details
  • Ability to maintain confidentiality and exercise extreme discretion, professionalism and integrity
  • Adapt quickly and efficiently to new situations, cope effectively with pressure and deadlines
  • Excellent interpersonal and communication skills and ability to work effectively with others
  • Exceptional time management skills and ability to balance and manage multiple priorities
  • Excellent problem solving/judgment skills, and high level of attention to detail and accuracy
