Summary of Position

The office coordinator will serve as the primary point-of-contact for the Maytum Center for Student Success, ensuring smooth communication and efficient operations. The role facilitates office communication channels and maintains the physical space for optimal functionality; supports office budgetary activities across the various functional areas; takes the lead in event planning for the functional areas; and works with colleagues within Student Success to spearhead the usage, maintenance, updates, and oversight of office-related technology and software. Additionally, they will provide support to the Gator Success Grants process and supervise a team of student employees.

What you will do in this role:

  • Oversee Student Success oral and written communications. Serve as the point-of-contact by answering telephones, greeting guests, attuning to shared office email account and chats, and coordinating mail in and out of the office.
  • Coordinate the logistics of event, meeting, and program planning and facilitation by scheduling space, ordering catering, securing supplies, marketing events, taking minutes, and maintaining documentation.
  • Maintain the Student Success physical space by submitting work orders, ordering supplies, overseeing the cleanliness and organization of the space, and updating signage as needed.
  • Coordinate the selection, training, orientation, and supervision of student employees. 10% support all budgetary functions within Student Success by maintaining documentation, processing invoices/payments, completing the oversight of credit card reconciliation and documentation, and monitoring charges and expenses to accounts.
  • Provide administrative support for the Gator Success Grant Committee by maintaining documentation of requests and funding/non-funding of grants, overseeing associated budget account usage, communicating and coordinating funding results with requestors and colleagues across campus and in the community.
  • Manage and facilitate all aspects of office-related technology and software to ensure optimal usage, regular updates, and ideal user experience.

YOUR EXPERIENCE

  • Minimum of 1-3 years of relevant experience required, 4+ years preferred.
  • Associates/Bachelor's Degree preferred, but will consider years of experience in in lieu of a Bachelor's degree.
  • Track record of achieving exceptional results.
  • Detail oriented with ability to multi-task
  • Must have exceptional communication and relationship building abilities

YOUR COMPENSATION

New hires are typically brought into the organization at a salary between the range minimum and the salary range midpoint depending on qualifications, internal equity, and the budgeted amount for the role. Compensation is dependent upon qualifications and experience. This is a non-exempt position. The expected hourly range starting point for this position is $15.80.
