As an Administrative Assistant, you would be part of a team that strives to provide best in class service to customers in 33 million square feet of industrial buildings in the Atlanta Market as well as key Global Customers for our Customer Lead Solutions (CLS) team. Our customer base is large and diverse and we're looking for someone who enjoys working with some of the biggest names in e-commerce logistics and warehouse operations as well as smaller shop operations. This position will be a hybrid role, with the majority of the time working in the Atlanta office.

What's needed in order to do that:

  • Receive, direct and follow-up on incoming phone calls.
  • Coordinate internal office supplies, kitchen supplies and team functions.
  • Liaison with Prominence Office Tower's property management team for communication to the Atlanta Prologis Office Team This includes managing parking and access cards, inputting and follow through of office work orders, and scheduling of building conference rooms if needed.
  • Assist in planning/coordinating travel plans for Prologis' Atlanta based CLS team.
  • Proposal generation and document editing and production for CLS team's business development and leasing efforts
  • Ability to schedule and organizes meetings, conference calls and appointments. Prepare items in relation to meetings, including but not limited to, creation and assembly of documents for distribution, coordination of site reservations, meal orders, attendance confirmations, participating in/traveling to local meetings as needed and interacting with attendees to address questions or issues on event.
  • Lead the completion and processing of expense forms for assigned staff. Tracks corporate credit card payment schedule and ensures timely processing and payment. Review, reconcile and process expense reports.
  • Manages vendors that perform work in the office (Ex. Ice Machine Maintenance, Access Card Troubleshooting). Processes payments of invoices through Peoplesoft for the office vendors.
  • Manages the overall organization of the office including signage, closets, and mail area.
  • Pick up of mail, sorting mail and scanning to appropriate team member.
  • All other administrative duties as assigned by the supervisor.

  • Requires a High School Diploma or General Education Degree (GED) plus three years' experience in administrative role or related field and/or training.
  • Commercial real estate experience a plus.
  • Ability to carry out specific oral and written instructions with a sense of urgency and bias for action.
  • Meticulous attention to detail and accuracy.
  • Ability to collaborate with multiple organizations to complete various projects and assignments.
  • Excellent customer service and interpersonal skills. Proven ability to communicate via email with customers, vendors, and the Prologis team.
  • Ability to use computer software and web-based applications.
  • Demonstrated ability to manage multiple projects and tasks daily with efficiency and accuracy. Ability to organize and prioritize work assignments to meet deadlines. Good record keeping of property improvement projects to assist property manager in scheduling and payment processing.
  • Proficient knowledge of the Microsoft Office Suite (e.g., Word, Excel, PowerPoint, Outlook).
  • Positive, proactive work ethic and team centric approach.
  • Show tact, discretion, confidentiality and good judgment in handling sensitive and confidential matters and documentation.
