ABOUT UIAA

The mission of the University of Illinois Alumni Association is to enhance and advance the relationship between the University of Illinois at Urbana-Champaign (hereinafter, the "University") and all its alumni; to inspire lifelong loyalty and pride among alumni and friends by strengthening their relationship with the University; and to educate the public about the value of the University and its alumni. The objectives of this Association are educational and charitable. The Association functions as an advocate for the alumni and the University by informing interested parties of current issues, events, and accomplishments of alumni and the University. In fulfilling its mission, the Association may provide a variety of services to the University and its alumni, as well as to other universities when appropriate.

ABOUT OUR ORGANIZATION STRUCTURE

The University of Illinois Alumni Association (UIAA) President reports directly to the Board of Directors of the 501c3 corporation. For all other alumni relations activities, the UIAA President will maintain an ongoing dialogue with the Chancellor of UIUC. As an integral member of the University of Illinois advancement community, the UIAA President serves on the Chancellor's Executive Leadership Team.

ABOUT THIS ROLE

The Membership Coordinator will act as the liaison between the University of Illinois Alumni Association, our members, and the campus partners and vendors we employ to provide benefits to our members. The Membership Coordinator will serve as the first point of contact for all members and membership related questions, be tasked with maintaining records, tracking membership figures, and implementing regular communication with members. Ultimately, an excellent membership coordinator should be an outstanding communicator with a talent for building strong relationships between members and the organization, ensuring our members receive excellent customer service.

MAJOR DUTIES & RESPONSIBILITIES

MEMBERSHIP (95%)

  • Processes new memberships, gift memberships, renewals, and resignations, including managing the process of membership incentive fulfillment.
  • Responds to all in bound (phone, email, customer service platform) questions, information requests, and concerns regarding membership from members, alumni, and vendors.
  • Maintains membership data including updating membership records, tracking membership statistics, and working in coordination with Associate Director of Alumni Services to prepare and distribute membership, retention, and revenue reports.
  • In coordination with VP of Membership plan new membership incentive campaigns; work as the primary point person with vendors on fulfillment of incentive campaigns. If necessary, lead staff efforts to fulfill incentive campaigns.
  • In coordination with the marketing team, prepare monthly communication with members notifying them of their benefits and other membership marketing materials as necessary.
  • In coordination with the marketing team, plan advertising campaigns for programs and incentives; including updating web pages and working with college/unit partners on cross promotion.
  • Organize virtual events and activities in coordination with benefit partners for existing and prospective members and work with the marketing department to promote these activities.
  • Participate in crafting membership development strategy, researching peer programs, and identifying best practices.
CAMPUS NETWORKING (5%)
  • Networks with faculty, staff, alumni.
  • Maintains close relationships with UIAA staff; UI alumni; UI faculty administration and staff as an ambassador of the membership program.
  • Attends functions on University of Illinois as a UIAA representative as needed.
TYPICAL DELIVERABLES EXPECTED
  • Onboard and process new memberships including membership incentives.
  • Answer all in-bound communication regarding membership.
  • In coordination with the marketing team, plan marketing campaigns around membership benefits and membership incentives
  • Prepare monthly benefits communication for members and assist in the creation of membership recruitment materials.
JOB QUALIFICATIONS REQUIRED
  • At least 1-year related work experience in membership, fundraising and/or administration, with preference given for those with alumni association and/or nonprofit experience
  • Excellent customer service skills and attitude
  • Strong attention to detail, organization and time management
  • Ability to prioritize multiple tasks in a fast-paced environment and the ability to manage tight deadlines and multiple projects
  • Demonstrated excellent written and verbal communication skills and strong interpersonal skills
  • Familiarity with large databases
  • Solid understanding of Microsoft Office, Outlook and social media platforms
EDUCATION AND/OR CERTIFICATION REQUIREMENTS
  • Bachelor's degree in marketing, communications, or related field.
  • A working knowledge of the University of Illinois System and the Urbana University in particular.
Appointment Information:

This is a 100% full-time position, appointed on a 12-month basis. The expected start date is as soon as possible after January 26, 2023. Salary is commensurate with experience.
