We are actively hiring for a Litigation Legal Secretary to join our team and support CSAA Insurance Group, a AAA Insurer, in achieving our goals! We are looking for motivated, innovative individuals, who think big and move fast with a passion for service excellence.

Essential responsibilities

  • Responsible for legal secretarial and administrative tasks, including but not limited to document creation, editing and preparation, filing, telephone calls, and mailings.

  • Organizes and maintains electronic files and databases related to current cases and various legal matters including, dockets and calendars, legal appearances and filing deadlines.

  • Provides administrative support to attorneys with assigned projects and with scheduling and coordinating meetings and arranging travel plans.

  • Provides administrative support with subpoenas, depositions, mediations, court and arbitration hearings, and work with retained experts.

  • Reviews and files documents with State and Federal Courts in California.

  • Handles incoming and outgoing mail for attorneys supported, including scan and save incoming and outgoing documents.

  • Answers and handles incoming phone calls in a professional manner.

  • Maintains calendars and keep attorneys aware of scheduled events and approaching deadlines.

  • Assist with trial preparation.

  • Provides general administrative support for the office, including paying invoice and ordering supplies.

What would make us excited about you?

  • 2-3 + years of experience as a legal secretary in civil litigation and a strong understanding of the litigation process.

  • Excellent communication, organization and grammar skills.

  • Ability to multi-task and handle ever-changing priorities.

  • Knowledge of legal terminology and of proper formats for legal documents, legal procedures and document editing skills.

  • Knowledge of State and Federal Court rules, filings, and e-filings (including LexisNexis and One Legal).

  • Must exhibit strong typing skills and ability to learn and quickly become proficient in new computer software programs.

  • Advanced knowledge of MS Word, Adobe, and Outlook 365, OneDrive.

  • Knowledge of Excel and PowerPoint a plus.

  • Ability to handle and respond to sensitive and confidential information.

  • Ability to file using an alpha-numeric system.

  • Ability to work with minimal supervision, be a team player, and be committed to providing a high level of client service.

  • High school diploma/GED (or equivalent) required.

  • Bachelor's degree in related area or an equivalent combination of education and experience (a plus).

  • Electronic Legal Management system knowledge, i.e., TeamConnect or ProLaw experience is a plus.

  • Notary license a plus.

In compliance of Colorado's Equal Pay for Equal Work Act (EPEWA) we are disclosing the compensation, or a range thereof, for roles that will be, or could be performed in Colorado. If performed in Colorado, this position has a salary range of $47,000-$55,000 with an opportunity for a company-wide annual discretionary bonus, through our Annual Incentive Plan (AIP), of up to 5% of eligible pay. Please note, hourly or salary compensation, or the range of hourly or salary compensation available for a position may vary by location. We reserve the right to amend these benefits at any time and actual compensation will be determined at time of offer.

This role is designated as an office or office-flexible role that is non-essential. If you are hired, where you will be working may be temporarily impacted by the COVID-19 pandemic.
