Job Summary/Basic Function:
To plan, organize, direct, and coordinate centralized circulation operations for a large library; perform related work.

Work Schedule: Sunday - Thursday 1:45pm - 10:15pm (end time may vary, closing shift)

Assigned shift is Sunday-Thursday closing shift and schedule changes are required based on library operating hours.

Department Overview:
The Albertsons Library provides high quality, relevant information resources and services to Boise State students, faculty, staff, and community members.

Level Scope:
Provides immediate supervision to a unit or group of operational or technical employees. A portion of time may be spent performing individual tasks related to the unit; however, supervisory activities must constitute a primary part of the job. Supervises unit operations to ensure compliance with departmental or campus policies, procedures, and defined internal controls. Ensures accountability and stewardship of campus resources (operational, financial, and human) in compliance with departmental standards and procedures.

Essential Functions:
60% of the time the Library Circulation Manager must:

  • Develops and evaluates work flow patterns and establishes operating standards and guidelines; develops policies and recommends changes; policies and procedures; prepares projections and provides input for budget development; monitors expenditures; coordinates purchasing of supplies; reconciles receipts and prepares deposit; supervises maintenance of accounts; analyzes delinquent accounts; researches problems and implements corrective action; prepares reports.
  • Responds to inquiries; serves as liaison with patrons, library staff/management and faculty; resolves patron service complaints and problems; negotiates and authorizes the reduction or cancellation of fines, bills or administrative holds placed on delinquent accounts; determines and authorizes/issues refunds; may instruct patrons; may serve as a member of various library committees.
  • Supervises maintenance of library's collection; monitors input and output and troubleshoots and corrects problems; creates status codes for record changes; supervises staff; organizes and directs inventories; trains and supervises staff in operation and maintenance of microform readers/printers and copiers.
  • Projects staffing needs; plans and delegates work; interviews, hires, assigns and evaluates staff; resolves personnel problems; plans and conducts staff training and meetings; prepares, maintains, and updates training manuals;.

35% of the time the Library Circulation Manager must:
  • Has direct oversight of unit operations and employees during evening/weekend hours to ensure compliance with departmental or campus policies, procedures, and defined internal controls in collaboration with the unit head.
  • Acts as a resource for unit staff, especially nights and weekends; may direct staff in project management. May plan and conduct staff training and meetings.
  • Supervises Access Services student employees; recruits, hires, schedules, trains and evaluates, resolves personnel issues. Responsible for all associated paperwork, time approval, budgeting; prepares, maintains and updates student training manual. Collaborates with unit staff in directing student employee work.
  • Develops and evaluates work flow patterns for direct reports and establishes operating standards and guidelines; prepares projections and provides input for budget development; monitors expenditures; researches problems and implements corrective action; prepares reports.
  • May perform duties of other staff in their absence or during nights/weekends as dictated by need.
  • May develop and recommend changes to unit policies and procedures.
  • Assistant Building Coordinator; may submit work orders, manage emergencies, maintain safety and security of building and personnel, perform walkthroughs, facilitate communication; night/weekend point of contact for building issues.
  • May cover unfilled shifts of staff and student employees as business needs dictate during night/weekend hours.
  • Patron services: to include customer service interactions with university and community patrons: providing access to materials, course reserves, computer lab technology and assistance, problem solving, scheduling room space, referrals to other units, other patron services as needed.
  • Research assistance: performing basic to intermediate reference interviews and answering reference questions via in person or through chat/text messaging during evening and weekend hours or in absence of reference librarian staffing.
    May collaborate with other library or university units/departments or faculty/staff on projects, tasks, events and requests.
  • Building/library operations, spaces, security and facilities: May open the library and staff service desk for all hours the library is open, close and secure the building each night, gather information about building maintenance and upkeep and report issues to the appropriate campus units or Access Services personnel, including Facilities Operations and Maintenance, respond quickly to patron and building emergencies and evacuation of the building as necessary, acts as designated command post in emergency and evacuation situations, monitor use of library spaces and technology to ensure patron compliance and promote an environment of engaged study, central point of contact for all mechanical, electrical, recycling and janitorial issues.

Minimum Qualifications:
Good knowledge of: library operations; library collection and management practices; library classification systems.

Experience: selecting, training, and evaluating staff; planning, evaluating, setting priorities, and scheduling unit activities; preparing and maintaining statistical reports and records; interpreting and applying rules and regulations; assessing work procedures and developing or modifying as needed; resolving complaints and personnel conflicts; using an automated records system.

Preferred Qualifications:
  • Three years of experience in general library work in an academic or large library.
  • Good knowledge of stacks management principles.
  • Three or more years experience with office management applications such as Microsoft Office Suite and Google Workspace programs.
  • Two or more years of supervisory or lead experience; selecting, training, and evaluating staff; resolving complaints and personnel conflicts.
  • Two or more years planning, evaluating, setting priorities, and scheduling unit activities.
  • Two or more years working both independently and collaboratively.
  • Two or more years experience preparing and maintaining statistical reports and records; interpreting and applying rules and regulations; assessing work procedures and developing or modifying as needed; using an automated records system; compiling and analyzing information and writing a summary in a work setting; using computer applications software.

Hourly rate starts at $19.71 depending on experience.
