Are you our next Legal Administrative Assistant?

As a legal administrative assistant on Mosaic's Law team, your role will be key to ensuring our department runs efficiently. Using specialized knowledge and skills obtained through experience and formal training, you will provide general administrative support to Mosaic's Law Department. You will support our team of six attorneys and two paralegals in Mosaic's Plymouth, MN office. Ideally, you possess excellent time management and communication skills, which will be used while managing and maintaining calendars and processing invoices to ensure A/P payment. Additionally, you will handle standard administrative duties such as creating and editing presentations, managing and maintaining documentation, and sending and processing electronic communications and mail. Here's some details about the team you will be supporting:

Mosaic's Law Department is responsible for a wide array of strategic, operational and compliance related legal services. We are global in reach, and play an integral part of Mosaic, closely collaborating with our Board of Directors, Senior Leadership Team, business units and other functions to offer practical, common-sense based approaches to challenges and opportunities confronting Mosaic. Areas of particular focus include labor and employment, securities, environmental, mergers and acquisitions, joint ventures, litigation, contracts, intellectual property, antitrust, real estate and information technology, among others.

What will you do?

  • Proof and format work product, including internal memos, reports, and presentations using Microsoft Word, Excel and PowerPoint
  • Process payment of external law firm and other Law Department vendor invoices
  • Assist in compiling annual Law Department budget data and related management reports on expense vs. budget
  • Make travel arrangements (domestic and international), schedule conference calls and meetings, order catered meals, coordinate calendars, and assist in expense reporting as needed
  • Serve as back up for other legal administrative staff as needed
  • Organize and maintain department files, order supplies, and participate in miscellaneous departmental projects as assigned
  • Act as back up for inter-departmental administrative assistants in their absence or work overflow

What do you need for this role?
  • A high school diploma or GED is required
  • 5+ years of administrative experience is required
  • Experience in a corporate legal department is highly desirable
  • Advanced expert skills in Microsoft Word, Excel, Power Point and Outlook required
  • Excellent verbal and written (especially grammar and proofing) communication skills
  • Demonstrated ability to handle confidential and sensitive information
  • Demonstrated decision making and problem-solving skills
  • Excellent organizational and time management skills
  • Ability to adapt to a continually changing business and work environment and manage multiple priorities
  • Ability to effectively work with employees at all levels within the organization
