About the Department

The Department of Anesthesia & Critical Care is a clinical academic department at the University of Chicago. The department has been continuously productive not only in its scientific contributions, but also in providing outstanding basic medical care in anesthesiology. Its members have helped to establish the role of anesthesiologists as consultants in fields such as intensive care, oxygen therapy, the recovery room, and inhalation therapy. From a one-member section in 1928, the department has grown to a 60+ member faculty; the department includes 50+ residents, 20+ nurse-anesthetists, 14 administrators and 70+ staff members. Faculty members are active nationally and internationally in the field, and former trainees of the department hold prominent academic positions in the United States and throughout the world.

Job Summary

The HR Coordinator assists with functions related to human resources for 4 clinical units: Anesthesia & Critical Care, Neurology, Radiation & Cellular Oncology and Radiology. The job performs a broad range of operational business activities to design, implement, and monitor a variety of human resource programs. Responsibilities are within the Human Resources Function as a generalist or in a combination of disciplines, allowing the incumbent to acquire higher-level skills.

Responsibilities

  • Assists HR Manager in identifying potential candidates, performing phone screens, preparing interview schedules, and checking references for all non-faculty position levels.
  • Assists with the hiring and termination process for staff and students at all steps.
  • Assists with all staff onboarding processes, such as Oracle, CNet ID, scheduling health screens, badge requests, etc.
  • Processes IT cases for account creation and equipment ordering for new hires.
  • Meets and greets new hires, authenticates I-9 documentation and maintains employment verification records.
  • Assists in the medical credentialing and recredentialing process for clinicians.
  • Oversees probationary evaluations, as well as annual and probationary goals.
  • Completes quarterly file and database audits to ensure that all required employee documentation is collected and maintained, ensuring accuracy.
  • Oversees the processing of volunteer and educational assignment requests.
  • Assists in orienting and onboarding new staff, visitors and volunteers to the department.
  • Completes and submits One Time Payments for staff and academics through the University's HRIS system.
  • Processes staff and provider leaves, enters FML time off entry in the HRIS system.
  • Audits, approves and corrects employee time sheets as needed, in consult with unit supervisors.
  • Proactively addresses day-to-day operations and projects in the office.
  • Assists in and occasionally leads the planning of the execution of employee engagement events.
  • Composes and distributes important communications to the department and/or leadership.
  • Organizes in-person and virtual meetings, facilitating full cycle candidate communication, scheduling, and team coordination.
  • Point person for organizing and distributing annual staff awards, gifts for various events across the University and Medical Center.
  • Supports staff hiring processes, including developing job descriptions, interviewing and reference checking, handling employment offers, and conducting orientation. Maintains appropriate human resources data and records.
  • May help counsel employees on benefits and compensation. Coordinates with managers and senior colleagues to determine employee compensation. Analyzes data and prepares charts, graphs, and trend lines for management review with a moderate to high level of guidance.
  • Performs other related work as needed.

  • Strong analytical skills and excellent computer skills including advanced Microsoft Office Suite.
  • Ability to work effectively under considerable time pressure on high visibility, high stakes projects with minimal supervision.
