University of Iowa Health Care is seeking a Health Care Services Assistant Director to perform a broad range of administrative duties, including management of provider productivity compensation activities and responsibility for the administrative interface and coordination of operations and finance with UI Physicians Admnistration, Hospital Administration, Carver College of Medicine Administration and UI Health Ventures leadership. This position will oversee and manage programs to support exceptional patient service, clinical quality outcomes, and financial performance. Position responsibilities include planning, organizing, directing, controlling, and evaluating functions of clinical services as well as educational and research activities. This position will collaborate with administrative, research and teaching teams to obtain and allocate resources effectively. In collaboration with other key stakeholders, this position will be responsiblible for enhancing care options and access for UI Health Care patients.

HR Management

  • In partnership with CCOM/UIP, UIHC HR and UIHV; hire, develop, and manage the performance of UIHV providers and staff. Sit on search committees for open positions and have input on new hire making decisions.
  • Builds trust with staff by demonstrating through evidence that staff issues are resolved in a timely and unbiased manner; provides rationale for decisions; counsel's employees as warranted; documents employee counseling and disciplinary actions.
  • Encourages staff input into appropriate clinic plans and decisions.
  • Recognizes with relevant recognition of effort, performance, achievement, and tenure.
  • Provide functional and administrative supervision to subordinate administrative personnel
  • Assure that staff are compliant with UI policies and procedures.
Financial & Data Management Analysis
  • Assist UIP and UIHV leadership to monitor compensation plans, activity tracking and associated reporting. This includes appropriate development and maintenance of associated information systems to support the effort.
  • Prepare and monitor annual budgets in cooperation with administrative personnel in the clinics, medical directors and clinical departments. Assimilate, analyze, interpret data, and prepare special and periodic operational and fiscal reports.
  • Develop UIP and UIHV business plans related to new patient care initiatives, faculty compensation/reimbursement programs, contracts, and proposals.
  • Prepare (and as called upon) present special and periodic operational and fiscal reports.
  • Collaborate with APP leadership to implement productivity metric reporting
  • Monitor and analyze scheduling data to ensure provider access is optimized
  • Creates and analyzes reports and dashboards
  • Develops new and monitor existing reporting tools to evaluate workflow, staff performance, and system performance in scheduling and visit management
  • Collect, analyze, and format data to prepare a variety of reports
  • Develop, implement, and monitor programs, projects, and computerized systems with hospital-wide impact
Operations, Standards of Care, Regulatory Compliance, Quality and Patient Satisfaction
  • Helps facilitate credentialing efforts as necessary for UIHV providers.
  • Collaborate with many departments at UI Healthcare including but not limited to; leadership teams in each department, PFS, HCIS Epic teams as well as many others.
  • Support activities related to Epic and Epic upgrades.
  • May assist with roll-out of new clinical services, including operational development, marketing and referring provider relations.
  • May assist with termination of clinical services, including operational issues and patient and referring provider communication.
  • Review patient satisfaction results and implement appropriate changes/improvements. Provide education to nurses/physicians as necessary.
  • Review and analyze data and present data to validate cost effectiveness and operating efficiencies of clinic operations and productivity.
  • May oversee clinic operating practices such as recordkeeping systems, cash collection, policies, and procedures.
  • Identify trends and determine QA priorities in conjunction with lead nurse and medical director.
Patient Care/Services Delivery
  • Oversight and standardization of tasks and reporting across UIP departments in their use of qGenda scheduling system.
  • Evaluate UIP and UIHV physician productivity and access to generate and implement recommendations to improve physician and staff efficiency
  • Analyze clinic operating practices such as record keeping systems, cash collection, appointment reminder systems, and facilitate revisions and/or establishment of new systems, policy, and procedures.
  • Collect, analyze, and format data to prepare a variety of reports to validate the cost effectiveness and operating efficiency of clinic operations and productivity.
  • Develop, implement, and monitor programs, projects, and computerized systems with hospital-wide impact.
  • Participates in expediting resolution of patient complaints or concerns
Planning & Goal Management
  • Participate in CCOM/UIP, UIHC and UIHV strategic planning.
  • Develop action plans to meet those goals

Communicate/Collaborate with Internal and External Constituents
  • Contact and serve as liaison to UIHC patient care support areas, appropriate individuals in the College of Medicine, Patient Fiscal Services, Department Administrators and DEO, Joint Office of Compliance, Strategic Planning and Physician relations, Marketing and Communications of the Clinical Enterprise.
  • Serve as a liaison between UIP, UIHC, UIHV
  • Maintain effective working relationships with faculty, staff, students, and across multiple UIHC support departments
Education Programs
  • Work with departmental education team to optimize medical student and residency rotations and patient care.
  • Collaborate with the UI PA program, Kirkwood MA program and other nursing programs to provide educational experiences in clinic.
  • Collaborate with College of Public Health, MPH and MHA programs
  • Collaborate with research staff to assure clinical and research needs are met and compliant.
Research Administration
  • Collaborate with research staff to assure clinical and research needs are met and compliant.

Required Qualifications:
  • A Master's degree in business, health care or higher education or similar area or an equivalent combination of education and experience is required
  • Typically, 2-5 years administrative experience is required.
  • Excellent written and verbal communication skills.
  • Proficiency in computer spreadsheet and database applications.
  • Valid US driver's license and ability to meet University of Iowa Risk Management driving requirements.
  • Demonstrated job-related experience with and/or commitment to diversity in the work/academic environment.
Desired Qualifications:
  • Knowledge of the University of Iowa Hospitals and Clinics policies, procedures, and regulations.
  • Ability to be self-directed and demonstrate excellent judgment in prioritizing multiple projects and assignments.
