Grants and Contracts Administrators perform pre-award, post-award or a combination of grants and contracts job duties in response to specific proposal guidelines or terms and conditions. They may function in a central unit, school, department, division, institute, or center. Grants and Contracts Administrators facilitate the proposal submission and award administration process. They understand sponsor requirements and interpret guidelines for the Principal Investigator. They are responsible for the processing of proposal or award amendments, communicating with sponsor as needed, and serve as the primary contact for internal and external subcontracts and sponsors. They may perform a range of other duties within their organizations, as needed, but are distinguished by their expertise in grants and contracts administration.

The Department of Orthopaedic Surgery, University of Virginia School of Medicine, seeks applicants for a Grants & Contracts Administrator or a Grants Specialist to join its administrative team. Applicants should possess a comprehensive understanding of grants and contracts administration. Duties include working with faculty to locate and identify sources of outside funding, managing all aspects of the development of complex proposals and awards, interpreting guidelines, terms, and conditions, and providing advice accordingly. The selected candidate will also be involved with post-award management to insure compliance of all applicable policies and procedures. This position will be based in our administrative offices at the new UVA Orthopedic Center on Ivy Road, and is a hybrid position.

  • Coordinates the planning and preparation of grant proposals; provides guidance and assistance to investigators in the interpretation of funding agency regulations and requirements.
  • Serves as a liaison between investigators, granting agencies, and the controller's office in the budgeting and preparation of grant proposals; researches agency and requirements and compiles and prepares comprehensive budget justifications for investigators;
  • Collects and compiles all components of each grant submission, ensuring that the proposal is formatted, packaged, and submitted in accordance with granting agency requirements.
  • Prepare budgets specific to sponsor guidelines.
  • Uses specialized databases and systems to record and track grant proposals, awards, and related statistical information
  • Creates and distributes standard and special reports, studies, summaries, and analyses, as required.
  • Develops and maintains a library of reference documentation, including such information as funding agency requirements and forms, investigator profiles and curriculum vitae, abstracts and reference literature, and other pertinent material.
  • Advise faculty in the preparation and submission of proposals to a variety of sponsors in accordance with funding agency policies and the fiscal soundness of grant-supported centers; facilitates and supports the research and identification of funding opportunities on behalf of investigators, as appropriate.
  • Ensure proper set up and oversight of internally funded grants.
  • Contacts sponsors when there is a need for clarification on policies and procedures for grant preparation.
  • Coordinates, and reviews effort reporting.
  • Monitors and coordinates the administration of post-award grants to ensure that budgeting and administrative policies, procedures, and agency requirements are being followed; manages administrative problems and/or budget changes occurring during the awarded granting period.
  • Maintains currency of knowledge of grant funding policies, regulations, and procedures; disseminates and/or presents changes to departments and advises on the implementation of changes, and on the impact of changes on funded operations.
  • Assists with special projects.
  • Assigns work to lower level employees; assist in the training and mentoring of new personnel.
  • Performs other related duties as assigned.

Minimum Requirements
Education: For a Grants & Contracts Administrator position, a Bachelor's degree is required. For the Grants Specialist position, an Associate's degree is required, but a Bachelor's degree is preferred. Experience: For a Grants & Contracts Administrator position, at least three years of grant and contract experience is required. For a Grants Specialist position, at least two years of grant and contract experience is required. Four additional years of experience may be accepted in lieu of degree for the Grants & Contracts Administrator position, and two additional years' experience may substitute for the Associate's degree required for the Grants Specialist position.
Licensure: Certified Research Administrator (CRA) certification is preferred.
