Position Summary

Mitsubishi Electric Power Products, Inc (MEPPI) is seeking a reliable and highly organized Executive Secretary to provide administrative support for the Company CEO and President, and administrative support to the company's senior management team. This position requires independent judgement and high level of confidentiality.

Essential Functions

  • Compose or prepare correspondence, reports, documents and forms in a neat concise manner using correct grammatical structure and punctuation.
  • Schedule meetings between the President and other MEPPI employees.
  • Handle correspondence and confidential information. Make and return phone calls upon request.
  • Distribute and file documents.
  • Update and maintain list of company visitors. Prepare background information in advance of visits.
  • Communicate with visitors on behalf of the President including invitations, agendas and courtesy notes.
  • Arrange meetings and associated refreshments and meals. Take minutes when requested.
  • Work independently or within a team on special projects.
  • Support and assist the other senior managers as requested.
  • Coordinate travel arrangements for the senior management as requested.
  • Support the participation of the President and senior staff in industry associations.
  • Support the philanthropic work of the President and senior staff.
  • Purchase promotional items and visitor gifts on behalf of the senior staff.
  • Organize special events for the company and social functions for the senior staff.
  • Assist in the preparation of travel and accommodations for MELCO visitors.
  • Provide administrative support for the Hope Committee.
Qualifications
  • Business school or specialized training for executive secretarial assignments with a minimum 5 years of experience in an executive secretarial position, or equivalent education and experience.
  • Advanced level of organization, professionalism, and attention to detail.
  • Ability to manage outlook calendars for meetings, events, and travel.
  • Ability to operate a multi-line phones system and other office equipment.
  • Ability to work independently and on several assignments simultaneously.
  • Advanced interpersonal and communication skills required to communicate with executives, employees, vendors and customers.
  • Advanced computer skills with emphasis on MS Office products, including the use of PowerPoint.
