Position Summary

The Executive Assistant will provide primary administrative support to the Corporate Secretary and other members of the Legal and Compliance team, as well as working with the Legal and Compliance Coordinator to support Carlyle's Board of Directors. The Executive Assistant will represent the firm in a professional and congenial manner in person, on the phone and in written correspondence. The specific duties will include heavy scheduling and calendaring, organizing and maintaining corporate records, assisting with the preparation of SEC and other regulatory filings, handling information requests, meeting coordination, scheduling travel and invoice management. In addition, in connection with each meeting of the Board of Directors and Board Committees, the Executive Assistant will work with the Corporate Secretary, Legal Coordinator, members of the Executive Office and members of senior management on meeting planning and logistics, organizing and compiling meeting materials, interacting with members of the Board of Directors and senior management and working with third party vendors as needed.

The successful candidate will have strong communication skills to liaise effectively with members of the senior management team, the Board of Directors and their executive assistants and other Carlyle personnel across the firm globally (e.g. personnel in each business segment, global technology, office services etc.), as well as with third party vendors. The successful candidate will be proactive, self-motivated, able to prioritize multiple tasks for multiple people in a fast-paced and quick deadline-oriented environment.

Key Duties/Responsibilities

  • Extensive calendar coordination: heavy scheduling and planning of internal and external meetings, including preparing necessary materials and organizing other resources (i.e. conference rooms, technology, third party vendors) for internal, Board and other meetings; preparation of meeting documents and coordinating team meetings and conference calls
  • Extensive involvement in organizing and maintaining corporate records, documents and policies and online data rooms; assisting with D&O questionnaires, web-based preparation of securities and other domestic and international regulatory filings and certifications
  • Arrange travel itineraries; process expense reports, ensure adherence to Carlyle travel policies, and track reimbursements
  • Facilitate completion and signature of legal documents in hard copy and via DocuSign gather required backup materials, draft cover emails
  • Document creation and maintenance (Microsoft Word, Excel and PowerPoint)


Qualifications

Education & Certificates
  • College degree preferred
Professional Experience
  • 5-7+ years of experience
  • Excellent Microsoft Office skills - Outlook, Word, Excel, and PowerPoint essential
Competencies & Attributes
  • Excellent communication skills - both written and verbal; must have superb spelling, grammar and punctuation
  • Demonstrated ability to think and plan ahead and manage time effectively
  • Discretion and ability to maintain confidentiality
  • Demonstrated ability to work effectively as part of a team and across departments
