Position Summary

Position Summary
The principal responsibility of this position is to provide executive administrative support a C-Suite level professional at Carlyle.

Key Duties/Responsibilities

Primary Responsibilities

  • Serve as gatekeeper in handling all incoming calls; have the ability and knowledge to know which calls, requests for time, and meetings are most important (good sense of prioritization).
  • Handle heavy schedule and maintain calendar for all internal and external meetings. Flexibility to juggle high degree of multiple and changing priorities.
  • Coordinate complex executive travel which includes transports (including private aviation), hotels, car services etc., and cater to specific preferences
  • Pro-actively anticipate work assignments and prepare executive for forward calendar of events;
  • Coordinate weekend prep material collection, printing, and delivery
  • Engage IT and Office Services support to maintain exceptional physical office and home-office experience
  • Leverage productivity software (Microsoft Office) to maintain calendars, contacts, and tasks.
  • Complete expense forms and track reimbursements.
  • Personal work such as coordination of personal travel, car service, dinner reservations, tax filings etc.
  • Maintain confidentiality of all sensitive and confidential issues, discretion is a must; and
  • Shepherd external meeting guests upon arrival
  • Provide general administrative and office support
  • Assist with ad hoc projects and other reasonably related duties as assigned.


Qualifications

Education & Certificates
  • College degree preferred
Professional Experience
  • Minimum of 5 years of experience supporting c-suite Executives
  • Background in financial services is strongly preferred
  • Excellent Microsoft Office Skills (Outlook, Word, Excel, PowerPoint)
Competencies & Attributes
  • Ability to work independently with strong follow-through skills
  • Excellent communication skills - both verbal and written
  • Flexibility to juggle moderate degree of multiple and changing priorities
  • Resourcefulness in executing projects
  • Collaborative /teamwork attitude and skills a must
