Job Description
MV Transportation is seeking an experienced and dynamic Executive Assistant. The Executive Assistant is responsible for accomplishing day-to-day administrative tasks in a fast-paced environment and serves as the key assistant to two executives (Chief Financial Officer and Chief Sales Officer). This position will primarily manage Outlook calendars, event planning, travel, develop presentations, draft business correspondence and expense reporting.

Job Responsibilities:
Successful applicant will provide administrative support, such as:

  • Support off-site meetings and events as needed, in terms of finding space, catering, agendas, communications, and other coordination as required.
  • Coordinate all travel in alignment the travel policies for MV.
  • Compose reports, memos, letters, presentations, and other documents, using the MS Office suite of applications.
  • Manage and maintains schedules, including making appointments, canceling meetings with finesse, arranging heavy travel schedules and establishing agendas.
  • Stay on top of meetings and interruptions to help maintain a productive schedule for the executives.
  • Work independently in managing multiple projects and tasks with minimal work direction.
  • Prioritize work load requirements, anticipate problems and create contingency plans as necessary.
  • Other duties as requested.

Talent Requirements:
  • Experience supporting executives for travel, calendaring, expenses and event planning.
  • Must have expert level skills in MS Office Applications.
  • Strong interpersonal and teamwork skills.
  • Solid written and oral communications capabilities.
  • High degree of organization and planning skills and checking/detail orientation.
  • Multi-task while remaining flexible, with attention to detail and have the ability to meet deadlines with minimal supervision.
  • Thrive in an environment of change and fluctuating priorities.
  • Proficient in written communications including clear and concise writing, editing for spelling and grammar, and an ability to interpret information.
  • Speaks clearly and eloquently, representing the office in a professional manner.
  • Dependable, timely, have a positive attitude, and a team work ethic.
  • Exude the professional image of the company and the executives.
