Allerton Park and Retreat Center, located near Monticello, Illinois, is accepting applications for a Events and Program Coordinator. This position will be responsible for planning, organizing, and overseeing Allerton programs and events throughout the property while working closely with communications, grounds, and development staff to market, promote, and execute high quality experiences at Allerton Park and Retreat Center.

Duties & Responsibilities

Planning and Organizing:

• Assist in the creation, organization, and planning of Allerton events and programs that engage the campus community and the residents of east central Illinois in cultural, artistic, musical, culinary, natural, and recreational activities. This includes but is not limited to: The Farms: An Allerton Folk School (classes, workshops, gatherings, retreats, and festivals), Allerton Races, Holiday GLOW, Holiday Showcase, Bluebell Festiva, Themed Dinners.

• Develop event and program budgets to reflect projected revenue and expenses.

• Obtain proper quotes and invoices from vendors to set-up purchase orders and payments.

• Work as a team with the Allerton communications staff to market and promote Allerton experiences in an effective and timely manner.

Execution and Management:

• Work closely with the Retreat Center Manager and Senior Program Coordinator to ensure that events and programs are handled seamlessly from planning to execution.

• Assist with the coordination of event and program operations by supervising and assisting in the performance of set-up and tear-down of equipment ensuring that events and programs on the property are ready when guests arrive and that guests requests are answered using independent judgement to resolve problems as they arise.

• On-site management

• Send follow-up surveys to event and program attendees to obtain feedback and assist in analyzing that data to improve Allerton experiences

• Serve as a bartender when needed.

Administrative Support:

• Maintain a high level of communication with other Allerton departments in order to progress Allerton's vision and mission.

• Work with the Allerton business office to ensure event planning and execution follows policies and procedures set forth by the University of Illinois and Allerton Park.

• Assist in the acquisition of public and private funding, such as donations and grants.

Position Qualifications

Required-

• Bachelor's degree in Hospitality, Marketing, Public Relations, Communications, Business Administration, Student Affairs, or a closely related field.

• 2 years (24 months) of professional work experience in Events Planning, Conference Management, Public Relations, Communications, Marketing, or any other related field.

• Demonstrated experience working with diverse populations.

Successful candidates will have the following-

• Ability to represent Allerton Park & Retreat Center and maintain credibility by conducting oneself appropriately and professionally.

• Excellent interpersonal and written communication skills

• Ability to perform well under numerous time constraints.

• Ability to manage multiple tasks simultaneously.

• Ability to interact/communicate in a positive manner with diverse groups of individuals.

• Ability to operate motor vehicles.

Appointment Information

This is a 100% full-time Civil Service 5009 - Events Administrator Associate position, appointed on a 12-month basis. The expected start date is as soon as possible after the close of the search. Minimum salary for this position is $45,000.00. We strive to provide a competitive salary, considering factors such as available market data, internal equity, candidate experience and qualifications, collective bargaining agreements, and budget constraints. The final salary offer will be determined through a thorough assessment of these elements. Work authorization sponsorship is not available for this position.
