Overview:

Responsible for overseeing and handling employment and employee relations activities including all hiring, recruiting, onboarding, retention, and termination activity, problem intervention, support, counsel, and issue resolution. Participate in the evaluation and provision of training for campus constituencies. Develop and administer staff recognition and service award programs and events throughout the year. Establish, fulfill, and track diversity hiring goals, turnover, retention and termination data statistics.

Essential Duties:

  • Consult with hiring managers to identify and recruit a qualified, diversified workforce in all areas of the College and ensure the implementation and maintenance of a welcoming, respectful work environment. Responsible for overseeing and coordinating all employment activities for administrative and support staff, developing internal postings, advertisements, and recruitment plans to establish strategies for HR to expand recruiting outreach; manage the maintenance and oversight of the College's applicant tracking system and onboarding modules, screening resumes, conducting interviews for qualified candidates, and performing reference and background checks in coordination with the hiring managers. Coach and guide hiring managers about best practices and use of the Applicant Tracking System including creating recruitment plans and innovative hiring strategies to fill hard to fill positions. Coordinate verbal employment offers with hiring supervisors and issue employment offer letters. Ensure I-9's are completed for all new employees and ensure appropriate VISA's for non-residents are appropriate and effective to allow work in the United States, employment data entry, processing of new hire paperwork (Personnel Action Forms), and W-4's. Ensure written business processes are maintained for employment activities. Handle the offboarding communication and data collection of exit interviews. Provide updated content information for the quarterly HR newsletter. Oversee the FriarHire Meet & Greet onboarding program for staff in coordination with other HR team members. Manage the monthly open position reports.
  • Provide assistance to supervisors in preparing and conducting annual performance appraisals. Review and analyze work functions, duties and responsibilities listed on job descriptions to evaluate staff capabilities. As requested, counsel supervisors on reorganizing and assignment of department duties and responsibilities. Assist management with assessment and reorganization of functional areas to maintain a qualified, productive workforce. Oversee the completion and collection of both three-month and six-month probationary reviews for new employees.
  • Provide counsel and assistance to supervisors and employees on problem or conflict analysis, intervention, and resolution to resolve employee relations or performance problems. May need to conduct individual meetings with supervisors and subordinates to resolve employee relations problems and performance concerns. Act as an advocate for staff in the discussion of issues and concerns related to employment, performance, and other areas that may arise. Make recommendations to Sr. AVP of HR on any on-campus education trainings sessions on topics of importance to ensure up-to-date knowledge on issues affecting the work environment.
  • Manage the overall unemployment process and claims, fraudulent claims, Department of Labor and Training (DLT) requests for information, state hire reports, and unemployment hearings; manage payment to staff temp agencies; manage the Occupational Employment Wage and Statistical Report.
  • Plan, develop, and administer programs and activities to cultivate a community environment aimed at creating a positive workplace environment sponsored by the HR office such as recognition and service award programs, annual barbecue, and an annual retirement party. In partnership with the HR team, contribute key information for the HR quarterly newsletter.
  • Provide supervisory oversight and direction to the Employment Generalist and Recruiter. Review policies and procedures to ensure consistency with the application of state and federal regulations.

Marginal Duties:

  • As requested, provide back-up support on employee and labor relations issues and projects.
  • Maintain the employment related content pages on HR's intranet website.
  • May participate as the HR representative on campus committees.
  • Perform all other duties as may be required.

Education and Experience Required:

  • Bachelor's degree from an accredited institution in a related field; master's preferred
  • Five to seven years of HR experience or an equivalent combination of education and experience.
  • At least one year of supervisory experience.
  • Excellent organizational, communication, and supervisory skills required with comprehensive and practical knowledge of effective, general human resources administration with in-depth knowledge of employment/employee relations issues.
  • Experience with planning events to build employee connections.
  • Computer literacy, including HRIS, word processing, spreadsheet application, and developing data reports.
  • Familiarity with PeopleAdmin. and Banner a plus.
  • Familiarity with an online applicant tracking and onboarding system is a plus.
