Job Summary

Department-Specific Responsibilities

  • Supervises and manages the daily operations of the Dedicated Maintenance team, Zone 1, within the Building Maintenance division of Facility Operations.
  • Works directly with Supervisors and General Supervisors to schedule, plan and direct the work of all assigned staff.
  • Supports Supervisors/GS as they evaluate work standards and manage overall performance which includes the installation, maintenance, modification and repair of various components and systems.
  • Helps Supervisors/GS review project plans, plan staffing levels, preorder materials and review provided estimates.
  • Directly oversees supervision for the Preventive Maintenance team within Zone 1 and provides leadership to other Zone 1 Supervisors for personnel actions, training and individual staff performance.
  • Advises and consults with customers, Facility Operations Administrators, inspectors and contractors related to preventive maintenance projects.
  • Analyzes, reviews and solves problems/issues.
  • Coordinates and schedules work flow for all Zone 1 personnel.
  • Reviews construction documents, orders material, consults and schedules work with customers.
  • Prepares and reviews estimates/plans/work flow. Schedules craft work sequences to ensure an effective time line. Writes requisitions for outside contractors and coordinates their role in achieving specified work and scheduling.
  • Supervises and manages the daily operations of the preventive maintenance and pool teams within the Dedicated Maintenance/Zone 1 area of Building Maintenance.
  • Schedules, plans and directs the work of all assigned staff.
  • Evaluates work standards and manages overall performance which includes the installation, maintenance, modification and repair of various components and systems.
  • Reviews project plans, plans staffing levels, preorders materials and provides estimates. Performs direct staff management functions for assigned staff to include but not limited to: talent acquisition, onboarding, performance management, salary alignment and merit recommendations, promotions, PTO approvals, conflict management, corrective action and dismissals.
  • Ensures all training programs are completed and staff are compliant with safety protocol. Sets the example for safety programs in respective area. Communicates and implements Indiana University and departmental practices, policies, and procedures. Supervises and confirms that inspections of new and existing equipment are performed in accordance with applicable codes.
  • Acts as a representative of Facility Operations, consulting with customers to determine project needs, timelines, and costs on proposed work. Establishes work schedules with customers and Zone 1 Supervisors/GS. Prepares estimates and supplements for change orders. Writes purchase requisitions/review quotes. Conducts walkthroughs for job start-ups and for punch lists. Provides feedback and recommendations to Facility Operations Administrators on project assessments, costs, budget expectations, timelines and customer expectations. Conducts walkthroughs for contracted work.
  • Extensively uses Maintenance Management Software to implement work and measure performance, collect necessary data, and analyze in order to improve operational efficiency.
  • Provides positive, progressive leadership.
  • Performs other duties as assigned.
General Responsibilities
  • Provides day-to-day operational management of Facility Operations staff.
  • Establishes short-term operational objectives.
  • Identifies operational issues and/or areas of improvement and implements solutions to improve processes and/or operational efficiency.
  • Analyzes, monitors, and evaluates performance of assigned staff; establishes work priorities, conducts performance reviews, and provides corrective action as needed.
  • Ensures adequate staffing and effective scheduling; participates and informs employment decisions for assigned staff.
  • Provides direct supervision and oversight of assigned staff and activities; impacts, and is held accountable for, the performance of team and/or assigned staff.
  • Ensures and provides training to assigned staff to improve Facility Operations; researches and identifies development opportunities for assigned staff.
  • Researches and stays up-to-date on new industry Facility Operations standards, best practices, and emerging technology; keeps next-level leader(s) informed of trends as well as significant problems.

Qualifications

EDUCATION

Required
  • Bachelor's degree in business, inventory management, controls, facilities management, or related field
WORK EXPERIENCE

Required
  • 2 years in business, inventory management, controls, facilities management, or related field
Combinations of related education and experience may be considered

  • Valid driver's license and ability to be insured by Indiana University upon date of hire

This role regularly requires the ability to effectively communicate. This role frequently requires the ability to handle equipment. This role frequently requires the ability to remain stationary and ascend/descend ladders/stairs. This role requires the ability to move objects weighing up to 25 pounds. The role requires the ability to detect items in close proximity as well as far away; discern between colors; detect objects in peripheral space of self; discern items in detail; and to have good depth perception. The person in this role must be able to perform the essential functions with or without an accommodation.
