Job Description

Occupational Summary

Perform a variety of clerical and administrative duties in support of the Duke Clinical and Translational Science Institute, helping to maintain efficiency in organizational operations.

Work Performed

  • Schedule, plan, and coordinate meetings using WebEx and Zoom. Serve as the point of contact for meeting attendees.
  • Assures all materials for meetings are prepared in a timely fashion, prepare and distribute materials as requested.
  • Coordinate travel, guest visits, and other CTSI events.
  • Prepares spreadsheets, charts, and complex presentations using Excel, PowerPoint, and Word.
  • Organizes and maintains CTSI files of records, reports and correspondence required for reference and efficient operation of division or department; maintain up-to-date management and procedural manuals, directives and related records; interpret new directives, policies and regulations and inform appropriate personnel of changes.
  • Ensures that written communications are accurate, timely, and professional, with appropriate attention to proper business etiquette, format, and tone. Proofreads and edits documents to ensure the accuracy, clarity, and consistency of the content.
  • Serve as liaison with internal and external agencies.
  • Serve as a back-up to other staff as needed.
  • Performs special projects and other work as assigned.

Knowledge, Skills and Ability

Prefer previous experience in an academic or scientific environment. Ability to multi-task and set priorities for supporting multiple staff members. Ability to use advanced Microsoft Outlook functions for scheduling meetings and integrating with WebEx for web-based meetings and conferences. Ability to use the most current versions of Microsoft Windows, Word, Excel, Power Point, and Outlook for standard business functions. Ability to communicate effectively with people from all levels, including senior leadership at the School and Duke Health. Ability to perform a variety of important, confidential and complex tasks with constantly changing priorities. Knowledge of standard business etiquette and protocols.

Education

Work requires a broad knowledge of clerical and accounting principles and practices normally acquired through two years of post-secondary education in secretarial science or a related business field.

Experience

Work generally requires four years of related secretarial/clerical experience to acquire skills necessary to administer complex office functions related to office management, communications, and budgetary/accounting activities. OR and equivalent combination of education and relevant experience.
