Responsibilities

The Volunteer Services Coordinator will support day-to-day functioning and overall success of the department as a cross-trained, integrated member of the professional staff team.

Responsible for coordinating St Christopher's Hospital's application and onboarding process for volunteers, shadowing students, and Health Tech program participants. This position will support all functions of the Volunteer Services Department, with a focus on the role volunteers may have with positive patient experiences.

Facilitate the application process which includes review of volunteer applications, gathering required background and health documentation, scheduling interviews, conducting required hospital orientation, and timely follow up and completion of volunteer onboarding.

Review of volunteer applicants' files to ensure all requirements are met prior to submission to approval by the Director of Volunteer Services

Maintain volunteer files to meet hospital compliance as it relates to JCAHO to include annual PPD's, Flu, Fire/Safety, Infection Prevention and HIPAA updates. Coordination of shadowing applications.

Coordination of Volunteer Schedules for hospital special projects and volunteer service reports, which includes volunteer hours, community benefit and service tracking, annual events, and recognition programs for partner departments and volunteers.

Coordination of the Health Tech Program for local high school students. In partnership with the Director of Volunteer Services, school district, and local school faculty, oversee the Health Tech Program and its functions, interview, and selection of students, including onboarding students, training curricula, placement in hospital departments, and monitoring student and mentor performance.

Collaboration with partners and outside organizations including but not limited to Pet Therapy volunteers, RSVP of Delaware Valley, City of Philadelphia, Musicians on Call, Penn's Heroes, Ronald McDonald House, public and private K-12 schools, Scout groups, service organizations, and corporate partners.

Skills & Abilities :

  • Exceptional interpersonal skills, customer service focus
  • Advanced verbal and written communication skills
  • Knowledge of Microsoft Windows operating system
  • Advanced skills in Microsoft Office (Word, Excel, Power Point, Outlook, etc.)
  • Advanced skills in database management and other technology needed for program operation
  • Advanced understanding and knowledge of Volunteer Volgistics (Volunteer Database)
  • Anticipates potential and / or unexpected issues in program management
  • Skilled in coordinating multiple, simultaneous ongoing program demands
  • Analyze and resolve routine to complex problems
  • Prioritize and manage projects, timelines, resources, and department goals

Qualifications

Training & Education :

Minimum Requirements

Associate's Degree in human services, medical field, or related major/discipline or High School Diploma with a minimum of 3 years related experience in volunteer services coordination, customer service, and/or experience in professional environment in a hospital or healthcare care setting

Preferred Requirements

-Bachelor's Degree in related major/discipline

-Knowledge of JCAHO requirements and supervision as it relates to volunteers

-Program coordination in an academic, hospital, or healthcare setting preferred

-Combined education and prior experience will be considered

Primary Job Duties and Responsibilities:
  • Responsible for the coordination of the volunteer on-boarding process and tracking of completion of on-boarding requirements
  • Responsible for coordination / support of Volunteer Recognition programs
  • Maintain and update volunteer mailing lists for all hospital programs and events
  • Support the planning and execution of hospital special projects and events
  • Collect and track all volunteer uniforms, hospital ID distribution, and responsible for retrieving uniform and ID badge when volunteer is no longer active
  • Coordination of Health Tech and Shadowing programs, including student placement, mentor matching, documentation of service and payroll hours, as appropriate
  • Collaborate with partner departments and external partners to promote the Health Tech, Physician Shadowing program, and volunteer initiative
