Job Description:

Meets with project leadership including Director of Operations and Local Health Council personnel to plan the scope and format of events, to establish and monitor budgets, and to review progress. Plans and develops programs, agendas, budgets, and services according to project requirements. Works with Marketing and Communications Specialist for event promotion.

Develop and execute a comprehensive conference and event plan for the "Florida Together Now" Grant program, including webinars, workshops, and other outreach activities

  • Coordinate all aspects of event planning, including venue selection, catering, audio-visual, transportation, and other logistical arrangements
  • Develop and manage event budgets, tracking expenses and ensuring that events are cost-effective
  • Work with program team to identify and recruit speakers and presenters for program events
  • Develop and manage relationships with vendors, such as event planners, caterers, and audio-visual companies
  • Collaborate with program team to develop event messaging and marketing strategies
  • Prepare event materials, such as agendas, speaker bios, and marketing collateral
  • Ensure that events are executed flawlessly, managing onsite logistics and troubleshooting any issues that arise
  • Evaluate the effectiveness of events, using data to inform future planning
    .
    Attends events and monitors event activities to ensure satisfaction of participants. Resolves any problems that arise. Some travel required to events as needed. Works with Photographer/Videographer to document events.

    Tracks and monitors event expenses, and works with fiscal staff to oversee event billing and payment processes.

    Expected Salary:

    $50,000 - $60,000

    Minimum Requirements:

    A bachelor's degree in an appropriate area of specialization and three years of appropriate experience; or a high school diploma and seven years of appropriate experience. Appropriate college course work may substitute at an equivalent rate for the required experience

    Preferred Qualifications:

  • 5+ years of experience in event planning, preferably in a nonprofit or government setting
  • Strong project management skills, with the ability to manage multiple events simultaneously
  • Excellent communication and interpersonal skills, with the ability to build relationships with stakeholders at all levels
  • Strong negotiation and contract management skills, with the ability to manage vendor relationships effectively
  • Excellent budget management skills, with the ability to manage event budgets effectively and efficiently
  • Ability to work independently and as part of a team
  • Strong attention to detail, with the ability to manage complex logistical arrangements
  • Experience with event planning software and technologies preferred
