Description:
Under the supervision of the manager/director, coordinates and maintains daily operational activities to assure the delivery of quality care, to provide exceptional customer service, to foster collaborative and professional working relationships and to ensure staff adherence to the policies and procedures of the health care system and regulatory agencies.

  • Direct Care: Provides care to the patient and support to the physician throughout the entire visit, beginning at the time of arrival at the reception desk, during the visit, and completion of the checkout process. This includes but is not limited to history taking, assisting with routine tasks and procedures, telephone messaging, scribing, scheduling and visit follow up orders. Works under the supervision of a registered professional nurse when additional skill, assessment and expertise are needed, or in the absence of the physician.
  • Clinical Operations: Uses planning and collaboration skills to maintain optimum work flow in the clinical area, including flexing assignments, cross coverage and continuous communication with peers to identify obstacles. Uses problem solving skills and proactive measures to eliminate roadblocks that impact the delivery of care. Uses creative thinking to identify ways that enhance the patient/physician clinic experience. Oversees supply inventory and is a resource for the routine use and maintenance of medical equipment. Actively participates in quality projects and activities that enhance care through evidence-based practices. Demonstrates a culture of safety in the care environment and adheres to the standards of care required by regulatory agencies.
  • Registration & Front office: Utilizes technical skills and knowledge of the computerized scheduling systems to generate patient demographic info as well as facilitate appointment scheduling and access to care. Demonstrates capacity for attention to detail as it relates to insurance, billing and referral processes.
  • Scheduling: Demonstrates initial and ongoing competency with the enterprise's computerized scheduling systems for clinic appointments and ancillary testing. In addition, coordinates external referrals into and out of the system when requested or ordered by the physician. Routinely reviews physician schedules to identify opportunities to improve patient access and/or reduce wait times, maximize staff/physician productivity and maintain clinic flow.
  • Telephone & Communications: Serves as the primary source of contact for clinical operations within the department. Deals promptly, directly and completely with messages from patients and physicians. Exhibits courteous and professional interactions with internal and external customers. Escalates any unresolved issues to the medical assistant lead, registered professional nurse or manager. Demonstrates proficiency in the use of electronic communication modalities.
  • Staff Leadership: Serves as lead to staff and coordinates activities that maximize productivity and flow in all areas. Responsible for developing and maintaining employee schedules to ensure efficient operations. Provides input to staff performance evaluations and assists staff with developing goals and objectives that foster professional growth and development. Coordinates the orientation process for new employees, is directly involved with performance related issues, and encourages attainment of work improvement plan recommendations. Demonstrates accountability for personal professional growth and job performance.
  • Fiscal Responsibility: Assists the manger/director with monitoring of expenses to assure cost effectiveness operations, including attention to overtime and supply expenses. Assumes responsibility for coordinating supply procurement, monitors cash collection activities for the site and verifies correctness of charge capture associated with the visit.
  • Quality & Service: Establishes and monitors quality activities and projects to comply with the system goals for exceptional care and service to the patient. Uses time and resources effectively that have a direct, positive impact on patient outcomes. Assists in the development of site-specific practice guidelines that direct operations. Serve as an advocate for patient car and a champion for the promotion of a culture of safety at the site. Assumes an active role in maintaining site preparedness and compliance with standards of regulatory agencies.
  • Collaboration & Problem Solving: Serves as the point person for problem resolution at the site or between departments. Demonstrates exceptional communication skills and fosters open dialogue when seeking resolution. Escalates unresolved issues directly to the manager/director.
  • Communications: Serves as the primary source of contact for clinical operations within the department. Deal promptly, directly and completely with messages from patients and physicians. Exhibits courteous and professional interactions with internal and external customers. Escalates any unresolved ussies to the lead MA, registered professional nurses or manager. Demonstrates proficiency in the use of the electronic communication of modalities.
