Purpose



The Branch Administrative Assistant is responsible for assisting the Dispatcher in coordinating jobs in order to provide service to our customers in a timely manner. The individual will deliver administrative and organizational support to aid in projects running smoothly and in a timely manner.



Duties and Responsibilities


* Evaluate, process, and transmit information, instructions, and permits
* Assist with monitoring weather activity and evaluating how to proceed based on weather-related regulations and policies
* Evaluate DOT regulations and work with the Compliance Specialist to maintain accordance
* Provide appropriate maps, direction charts and job specific paperwork to support personnel prior to beginning of jobs
* Check that inspections have been completed, file in proper locations, and turn in any discrepancies and service issues to service department
* Assist with payroll daily by collecting employees’ timesheets, determining rates based on job type and employee, and entering time into CMMS (Job Cost Dispatch)
* Assist with managing and coordinating site specific prerequisites and compliance
* Review ELD compliance for cranes assigned branch
* Any other administrative duties as assigned

Requirements

Education:


* High school diploma or GED required

Experience:


* Previous experience with payroll in an industrial or construction environment is preferred but not required
* 1 or more years’ experience using a CMMS such as Job Cost Dispatch to enter payroll
* 1 or more years’ experience with administration of drug screens and background screening

Skills


* Excellent communication skills and attention to detail
* Advanced computer skills; proficient in MS applications
* Advanced ability to problem solve and make sound decisions during high pressure situations
* Expert multitasker with ability to meet deadlines

Language Skills:

Must be able to read and comprehend simple instructions, short correspondence and memos and the ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to other employees of the organization

Physical Demands:

While performing the duties of this job, the employee is frequently required to walk, use hands to finger; handle or feel; and kneel; crouch; or crawl; and talk; or hear; push and/or pull; reach; bend and/or stoop. The employee may occasionally lift and/or move up to 25 pounds.
