BASIC FUNCTION

The Associate Director of Alumni and Parent Engagement will be responsible for leading the College's volunteer management efforts. With a current constituency of more than 14,000 alumni and 8,000 past and current parents, the College, the CMC Alumni Association, and the CMC Parent Network sponsor a myriad of major programs, communications, and volunteer avenues that assist the College in carrying out its educational mission, while providing continuing involvement and satisfaction for alumni, parents, and students. More broadly, the College, across many departments, including Admission, Advancement, Athletics, and the Soll Center for Student Opportunity, offer numerous volunteer activities for alumni and parents, currently accessed by 1,400 constituents.

The Associate Director will be tasked with developing a comprehensive strategy to streamline and strengthen both the volunteer experience and volunteer management across the College. The Associate Director will work closely with members of the Board of Trustees Working Group on Engagement to develop a plan that incorporates enterprise risk, tracking and metrics, matching department needs with volunteer tasks, training and recruiting of all involved parties.

DESCRIPTION OF DUTIES AND RESPONSIBILITIES

ESSENTIAL FUNCTIONS:

  • Reporting to the Assistant Vice President for Alumni and Parent Engagement (AVP), the Associate Director will have overall responsibility for creating, executing, and managing the College's volunteer engagement strategy. The Associate Director will work with Advancement, Admission, Athletics, the Soll Center, and other key departments in learning how best to support and expand their volunteer management needs. Duties include creating, implementing, and executing the strategy, creating compelling training programing, developing strong marketing and training materials, and management of volunteers.

  • In conjunction with the AVP, provide management and oversight of the infrastructure and organization of Claremont McKenna volunteer opportunities. This includes, but is not limited to, supporting volunteer leaders and managers, organizing and attending meetings, logistical support, administrative support, and planning and implementation of the strategy.

  • Work with the CMC Board of Trustee Working Group on Engagement to create and implement a compelling volunteer program, complete with training for both volunteer managers and volunteers, to ensure a positive experience that benefits the College.

  • Work with college departments to determine volunteer needs and whether those are or should become institutional priorities, and how best to support them.

  • Work with college departments to recruit, both in-person, electronic, and through virtual means, volunteers as needed.

  • Streamline and insure that all volunteer data is tracked in Raiser's Edge to assure reporting and continuity. Run reports as needed.

  • Work with the Office of Annual Giving to insure a giving strategy is created and implemented for volunteers.

  • Create and distribute various communications and publications, including quarterly volunteer update email/newsletter.

  • Survey volunteers yearly to determine thoughts and effectiveness to improve volunteer programming.

  • Work with volunteers, including committees of the Alumni Association and Parent Network, class liaisons, reunion class chairs, alumni interviewers, etc. to learn how to better support and engage our community.

  • Support on-campus events as needed, including but not limited to, Alumni Weekend, Reunion Weekend (5-year), Family Weekend, Parent and Family Orientation, ImpactCMC Weekend, and class affinity programs. Coordinate with the AVP on best ways to recruit or engage volunteers during these programs.

  • Supervise the maintenance of web pages related to volunteer management and recruitment. Promote volunteer opportunities and activities using social media and other resources.

  • Assist in other activities of the Office of Alumni & Parent Engagement as needed, and be a contributing member of the College's larger advancement activities, including assisting with plans and events for any campaigns, celebrations, and presidential initiatives.

REQUIRED KNOWLEDGE, SKILLS, and ABILITIES: Individual must possess knowledge, skills, and ability to be able to successfully perform the essential functions of the position, or be able to explain or demonstrate how the essential functions will be performed, with or without reasonable accommodation, using some other combination of skills and abilities.

A high level of proficiency in Word, Excel, Outlook and other Microsoft Office software and Adobe Creative Suite, plus ability to learn and adapt to new software.

Requires superior organizational skills, an ability to work independently with minimal direction. Must be detail-oriented.

Requires excellent goal-oriented management skills. Must have ability to work collaboratively and professionally with student employees and volunteers.

Flexibility and ability to juggle competing priorities and support numerous initiatives.

Requires strong interpersonal skills and an ability to interface professionally with alumni, parents, administration, faculty, and students. Must have ability to work effectively with volunteers, with the donor community, with the academic community, and with colleagues.

Experience with database functions and queries, particularly with Blackbaud's Raiser's Edge.

Proficiency in the use of e-mail software and the ability to manipulate attachments.

Requires exceptional professional writing, editing, and analytical skills. Must possess strong verbal skills.

Collaborative spirit and service-oriented attitude.

QUALIFICATION STANDARDS

EDUCATION: Bachelor's degree or equivalent combination of education and experience is required.

EXPERIENCE: Five to ten years of experience in volunteer management, with private higher education external relations environment is preferred.

GROOMING AND APPEARANCE: The Claremont Colleges seek to maintain a neat and professional image at all times. Professional attire is expected.

LICENSES: A valid driver's license is required to drive College-owned vehicles and the ability to be insured under the College's authorized driver's policy. OTHER

HOURS: The regular hours for this full time position are 8:00 a.m. to 5:00 p.m., Monday - Friday. Frequent holiday, weekend, and evening work hours will be required to manage volunteers and attend and support programs. Travel may be required. Regular hours may vary and exceed 40 hours per week due to needs of the College or division.

A CSA is a key partner in helping the College comply with the requirements of the federal Clery Act, the goal of which is to provide information about safety and crimes on campus. Because crimes are often reported to employees who are not law enforcement or campus safety officers, the Clery Act obligates the College to identify who on our campus is likely to receive such reports and inform them of this role and responsibility and train them on what to do with that information. As a result of this designation, upon hire, and periodically thereafter, you are required to take the Clery Act training course.
