SUMMARY

Under general supervision, the Real Estate Lease Analyst reads and abstracts critical lease information regarding the payment of any amount that may be due under the lease. This position compares all of the rental charges billed by the landlords to the signed lease language to verify accuracy of landlord's interpretation of the lease. This position protests incorrect billings with the landlord, including supporting documentation and identifying specific lease language that supports claims in order to correct billings. The Associate may interact with his or her supervisor several times a week to receive guidance and feedback. Some non-routine activities may require a supervisor's advance approval.

ESSENTIAL JOB DUTIES AND RESPONSIBILITIES*

  • Summarize and extract lease cost clauses into database using common lease clauses and abstract form, and associate's interpretation of pertinent lease information.
  • Verify that data entered into software is accurate using certain software modules and functions, such as payment history, payment set up, and key lease dates and clauses.
  • Conduct detailed audit of the CAM, insurance, tax, and other additional rent bills by location following internal procedures and using the lease abstract.
  • Communicate with landlords regarding inaccurate billings and maintain detailed notes regarding those communications.
  • Negotiate invoiced lease amounts directly with Landlords while maintaining a professional working relationship.
  • Maintain accurate records of status claim results with landlords using Excel; communicate disputes and collection efforts to management quarterly or upon request.
  • Continually follow up on previous claims or requests for information with landlords.
  • Review and correct weekly and monthly payment batches of rent.
  • Provide support to 3rd party lease auditors via e-mail, and fax, sending lease copies with supporting documentation.
  • Verify accuracy of capped both cumulative and non-cumulative billings and set up fixed cost agreements.
  • Occasionally process payment of percentage rent when audit discloses the need for correction.

BASIC AND PREFERRED QUALIFICATIONS (EDUCATION and/or EXPERIENCE)

  • Bachelor's degree from an accredited program in accounting or related field preferred
  • At least 1 year of experience in general accounting required
  • At least 2 years of experience with lease interpretation preferred
  • At least 2 years of experience in landlord/tenant relations preferred
  • At least 2 years of experience with Lease Administration software preferred

MINIMUM QUALIFICATIONS, JOB SKILLS, ABILITIES

  • Proficient ability to communicate effectively with others using spoken and written English
  • Proficient knowledge of Windows-based business computers and Microsoft Office programs; specifically, Excel, Outlook, and Word
  • Working knowledge of Accounts Payable software functionality
  • Working knowledge of Lease Lifecycle (i.e., site selection, negotiation, construction, operation)
  • Proficient knowledge of General Accounting functions
  • Proficient project planning skills, including the ability to organize, prioritize and control job responsibilities in order to meet deadlines in an environment with overlapping and potentially conflicting priorities
  • Ability to recognize discrepancies/errors in written/recorded data/information including the ability to initiate and respond to errors in a professional manner, working collaboratively and cooperatively with others
