The Department of Computer Science (CS) at The Grainger College of Engineering seeks applicants for the position of Assistant Head for Administration to s erve as the senior financial and administrative officer to provide strategic leadership and planning regarding oversight of fiscal resources, finance functions, research administration , facilities management , and human resource management within the unit.

Department Leadership:

  • Oversee all financial and administrative operations in the department, ensuring compliance with University policies, procedures, and relevant state and federal laws and regulations.
  • Direct and supervise profess i onal a nd support staff to facilitate effective administration of finances, sponsored research, facilities, safety, and space utilization, which includes : delegation of duties/responsibilities ; prioritizing workloads to ensure deadlines are met and urgent matters are addressed in a timely manner ; monitoring productivity ; and overseeing progress of short- and long-term unit objectives and goals .
  • S erve as a member of the Department's leadership team, leading financial planning and participating in all strategic planning activities. Work closely with the unit's leadership team , Dean ' s Office, Engineering business managers, Engineering Human Resources , and University administrative and business offices.
  • Manage and supervise the Department's business, human resources, and facilities functions, maintaining and enhancing the strong service orientation of the office .
  • Serve as the departmental contact with various College and Campus Offices and D i visions including facilities management , space utilization and other administ r ative functions .
  • Serve as the Department Head's designee in a variety of administrative matters with signature authority for business and HR functions .
  • Serve on departmental , college, campus, and/or University committees .
Financial Administration :
  • Responsible for fiscal management and control of state and federal appropriations, grants, contracts, gifts, indirect cost recovery, and self-supporting funds. Serve as the primary resource for budget preparation, administrative requirements, and approvals for grant proposals.
  • Implement Departmental policies for the maintenance and management of accounts, monitor expenditures, budget development and preparation of various types of management information.
  • Prepare reports and analyses relating to budgets.
  • Oversee the financial aspect of hiring of new staff and determine academic salary recommendations with, and/or on behalf of, the Department Head.
  • Identify areas of fiscal activity that could benefit from improved processes and initiate the development and implementation of process improvements.
  • Oversee departmental contracts and affiliation agreements within the department and subunits, ensuring University policy is followed.
  • Oversee responses and participation in audit-related matters, both internal and external.
Sponsored Research Administration
  • Assist faculty in preparation of grants and contracts, and financial planning and forecasting.
  • Prepare reports and analyses relating to grants and contracts.
  • Participate in strategic planning meetings related to research initiatives.
  • Oversee and coordinate responses related to post-award information and compliance requests .
Organizational & Human Resources Administration :
  • Provide counsel to Department Head and faculty regarding human resources matters including handling personnel issues , advising on recruitment and staffing needs for academic and civil service staff, and coordinating with the college-wide HR shared service operation for appointments, payroll, and compliance functions of the department .
  • Prepare reports and analyses relating to organizational planning needs and HR matters .
Facilities Administration
  • Participate with department leadership in the strategic planning process for facility improvement, remodel, new space, and day-to-day space matters.
  • Participate in a variety of ad hoc space and facility related matters as needed.
Perform additional appropriate duties to further the mission of the department.

Minimum Qualifications
  • Bachelor's degree in a business-related area, preferably business administration, accounting, or finance.
  • At least 3-5 years management experience involving administration, fiscal, personnel, and general organizational responsibilities within a large and complex organization with a high volume/time-sensitive workload.
  • Commitment to shared decision-making and experience working collaboratively in a team environment.
  • Supervisory experience and/or human resources background.
  • Demonstrated experience with the use of standard office technology and similar management tools.
Preferred Qualifications
  • Master's degree in a business-related area, preferably business administration, accounting, or finance.
  • CPA designation.
  • Knowledge of and/or experience in a land-grant university system.
  • Direct experience and knowledge of University of Illinois business and accounting systems, as well as business processes, including HR, procurement, payables, receivables, and policies and procedures.
  • Knowledge of and experience working with multiple sources of funds, including state, federal, gift, self-supporting, and ICR.
  • Experience in facilities management in an institutional setting.
Knowledge, Skills, and Abilities
  • Excellent written/oral communications, interpersonal and teamwork skills essential.
  • Ability to exercise initiative, confidentiality, discretion, and sound independent judgment.
  • Skilled in conflict management and resolution.
  • Ability to interact effectively with faculty, students, staff, alumni, and other stakeholders.
Appointment Information

This is a 100% full-time Academic Professional position, appointed on a 12-month basis. The expected start date is as soon as possible after the search closes. The minimum salary is $120,000, commensurate with experience and qualifications.
