Job Summary
This position is responsible for providing efficient administrative assistance to the Executive Director of the Center for Student Success and Retention.


    Performs various office support duties such as greeting and assisting visitors and screening calls Assists in compiling data for a variety of reports and presentations Prepares letters for correspondence and proofreads all documents Handles confidential matters and materials with appropriate discretion Recommends processes and procedures to ensure orderly operation of office Coordinates administrative office functions, committees, and special projects Ensures that assignments given to other staff are completed and timelines are met Arranges, participates in and implements conferences and meetings Processes all purchase requisitions for timely payment Track and monitor all purchases using the e-procurement system Responds to inquiries, explain departmental services, policies and procedures Maintains the social media for the center to include Twitter, Instagram and TikTok Supervises and manages the work study personnel Tracks and monitors the department budget (state and grant) Orders, tracks and monitors all office supplies Manages the Center's two buildings (Hubert A and Morgan Hall) in terms of operations, cleanliness and safety Maintains an inventory of all department equipment and supplies Maintains the Executive Director's calendar and prepares all documents associated with the executive Director's travel, schedule, appointments, meetings, committees and conferences Answers and maintains the center's mainline and email, routing them to appropriate areas May be required to perform job related duties other than those specifically delineated in this position

Required Qualifications
  • Bachelor's degree from an accredited institution OR an Associate's degree from an accreditted institution with a minimum 4 years experience as an office manager or administrative assistant

Preferred Qualifications
    Two (2) years of experience as an administrative assistant or office manager Familiarity of Banner, PeopleSoft platforms

Knowledge, Skills, & Abilities
    Knowledge of automated office systems, office procedures, filing systems and administrative processes Knowledge of state and University policies and procedures Expert level of MS Office Suite Ability to manage a budget and track expenses Ability to organize and communicate effectively Ability to maintain constructive and cooperative working relationships with others Ability to cooperate with fellow employees as a team member
