Key Responsibilities of Position

  • The Administrative Specialist is a confidential position providing executive administrative and program support to the Chief Operating Officer (COO) and the Administration Department. Responsibilities include oversight of general administrative office operations; answering a high volume of phone calls; coordination of agency data including demographics and outcomes; maintains a working knowledge of the FSA programs where volunteers will be placed as well as ongoing coordination with supervisors of volunteers; maintaining of volunteer records. The Administrative Specialist will also perform functions such as preparing correspondence and scheduling meetings.
  • Provide confidential executive support to the COO and other administrative staff as needed including coordinating appointments and meetings and managing calendars and schedules.
  • Providing excellent customer service, greeting visitors, and answering a high volume of phone calls.
  • Responsible for collecting data from all departments including demographics/outcomes/client satisfaction and preparing the data to be available for required reports.
  • Work with facilities, HR, and fiscal to address program needs as assigned by COO.
  • Supervise administrative interns and/or volunteers as assigned.
  • Recruit new volunteers from community, education, corporate, and/or volunteer agencies.
  • Promote and maintain awareness of volunteer program/opportunities via online volunteer recruitment websites, printed materials, outreach events, public presentations, and media venues.
  • Interview, screen, and place new volunteers in consultation and collaboration with Program Administrators. Ensure volunteers have needed background checks/health screenings through HR.

Qualifications

Required:
  • Associates Degree
  • Five (5) years clerical experience with progressively increased responsibility
  • Microsoft Office Suite (tested)
  • Demonstrated proficiency in Excel (tested)
  • Excellent oral and written communication skills (tested)
  • Able to demonstrate at least 2 years of experience supervising or placing volunteers and/or in an Administrative Assistant or similar role
Preferred:
  • Bachelor's Degree
  • Three (3) years of office management experience
  • Bilingual (Spanish)
  • Experience preparing business correspondence
  • Demonstrated ability to prepare PowerPoint presentations
  • Experience coordinating volunteers in nonprofit settings
  • Nonprofit organization mission-driven experience
