SUMMARY:

The Administrative Coordinator I, under general supervision, assists in general operations of the President's Office and maintains high-level interactions with the campus community. Provides administrative support to the President, Chief of Staff, Associate Vice President for Economic and Academic Development and Special Assistant to the President. Exercises discretion and independent judgment with respect to matters of significance and assists with highly confidential and critical academic and/or administrative matters.

DUTIES & RESPONSIBILITIES:

  • Participates in the planning and execution of administrative operations for the Office of the President.
  • Assists with scheduling appointments, managing calendars, coordinating travel, and processing payments. Serves as backup travel coordinator for the President as needed.
  • Serves as receptionist for the President's Office with a professional appearance and demeanor. Provides excellent interpersonal skills, exceptional telephone etiquette and ability to deal with all types of personalities.
  • Maintains and monitors approximately twenty budgeted expenditure accounts.
  • Maintains inventory of office supplies.
  • Purchases office supplies, equipment, etc., in accordance with purchasing policies and budgetary restrictions.
  • Manages the President's Office credit card purchases and statement reconciliations. Maintains equipment inventory for the President's Office and submits annual reports.
  • Updates content on the President's website as needed, including organizational charts for the entire University ensuring up to date and accurate information.
  • Assists with coordination of social events hosted by the President, working with the Scheduling Office and Sodexo on events.
  • Provides administrative support for searches conducted by the President's Office; occasionally assists with searches by other administrative units.
  • Prepares the President's Honor Roll (Fall and Spring) by creating certificates and letters to approximately 750 students each semester.
  • Assists with various special projects as needed.
  • Other duties as assigned.

MINIMUM REQUIREMENTS:

  • Education: Bachelor's degree or equivalent combination of education and experience.
  • Experience / Knowledge / Skills: Two years of related experience. Strong organization skills and detail-oriented. Knowledge of word processing, spreadsheet, and database applications. Effective verbal and written communication skills.
  • Ability to: Multitask and work cooperatively with others. Excellent written communication, analytical, interpersonal, and organizational skills. Ability to work with sensitive information and maintain confidentiality.

  • Other Requirements: May occasionally be required to perform work at other campus locations. This position is not authorized for online or work from home arrangements.

PREFERRED EDUCATION / SKILLS/ EXPERIENCE:

Degree preferred. Proficiency with standard A&M-Commerce administrative tools such as FAMIS, Canopy, ManeMarket, Concur, Workday. Experience in higher education.

SUPERVISION OF OTHERS:

May supervise student workers and/or graduate assistants.
