Job Responsibilities:

The Citadel, The Military College of South Caroline is seeking an Administrative Assistant for the Biology Department. This position will report directly to and assist the Department Head of Biology and will assist all other faculty/staff members within the department. Will be responsible for answering the telephone, giving information as needed and forwarding messages. Will greet and assist visitors, faculty members, and students. Will also be in responsible for the following:

  • Monitor departmental budgets. Screen all requests for supplies/services and travels for consistency with procurement and financial service policies and procedures. Reconcile departmental purchasing cards.
  • Maintain and coordinate departmental social media and webpage content.
  • Provide support for internal and external grants to include; monitoring budgets, ordering supplies, and submitting position requests for undergraduate and graduate students.
  • Provide support for student activities to include; submitting cadet orders, assisting cadets with travel arrangements for conferences, and coordinating club meetings.
  • Coordinate department graduate assistants/undergraduate and/or work-study students; manage the time keeping system (Kronos) for all departmental staff.
  • Coordinate class scheduling to include; room assignments for biology courses and use of Duckett Hall auditorium by Citadel and non-Citadel users as well as inputs all class schedules.

Minimum Qualifications:

A high school diploma AND related clerical/administrative experience. Must have knowledge of general office skills such as typing, photocopying, mail distribution, time sheets, key maintenance, and inventory/ordering of office and laboratory supplies. Proficiency in Microsoft software such as Word, Excel, and Outlook. Must be able to work independently. Must have the ability to exercise judgement and discretion in interpreting and applying policies and procedures related to budgetary matters, procurement, and human resources.

Preferred Qualifications:

Working knowledge of scientific terminology a plus.
