The Division of Student Affairs has an exciting opportunity for a temporary Administrative Assistant to work in Coral Gables, FL.

Position Responsibilities:

Financial


  • Workday Expense and Procurement Data Specialist (submit requisitions, change orders, journals, check request, etc.)

  • Reconcile all SHS invoices

  • Track approval of requisitions, purchase orders, Accounts Payable processing, and payment of invoices

  • Contact vendors with any invoice discrepancies or payment issues

  • Submit invoices with an approved Purchase Order to UM Accounts Payable

  • Order SHS supplies as requested

  • Assists Director of Budget and Financial Analyst for the Division of Student Affairs with any financial inquiries pertaining to Pcard purchases or the Student Health Insurance.


Human Resources

  • Create/update SHS Financial and Administrative Policies and Procedures as needed


Student Health Insurance

  • Review late waiver requests and insurance reinstatements processed by the SHS Secretary and post the financial transaction to Canelink.

  • Review and correct health insurance charge and waiver errors in Canelink as needed.

  • Assist with all health insurance and waiver issues as needed.

  • Review concerns/issues escalated by the Secretary. Collaborate with Business Operations Manager if needed.

  • Assist Business Operations Manager with the payments to UnitedHealthcare.

  • Serve as a contact for Graduate School regarding Graduate Assistant subsidy and payroll deduction enrollment inquiries.

  • Adhere to FERPA and ensure that all student financial records are kept confidential.


Student Health Website and Newsletters

  • Content Management System (CMS)

  • Update the SHS website content as needed

  • Review SHS website content to ensure that all information remains updated

  • Create or update SHS newsletters and submit to Student Affairs Communications for approval.

  • Update ListServ to send newsletter to students/parents as needed.


UM Orientations / Presentations

  • Present with the Manager of Business Operations at UM orientations for incoming students and educate on all of the services available at Student Health Service.

  • Answer all student questions and provide contact information for any future inquiries.


MINIMUM QUALIFICATIONS:

  • High School Diploma or equivalent.

  • Minimum 1 year of relevant work experience. Any relevant education, certifications and/or work experience may be considered.


Knowledge, Skills, and Abilities:

  • Knowledge of MS Office Suite

  • Knowledge of Health Insurance Administration

  • Financial and basic accounting skills

  • Analytical organizational administrative skills

  • Excellent customer service skills

  • Requires high attention to detail

  • Ability to prioritize tasks

  • Ability to work as a team player

  • Ability to maintain a high standard of confidentiality
