SUMMARY

An Administrative Assistant's responsibilities include helping their organization run smoothly and ensuring that deadlines, plans for events or anything related gets accomplished on time with no issues.

The Administrative Assistant shall provide an effective support system for the Executive Team, as well as to the subordinate staff. Applicants must have exceptional communication skills, the ability to manage multiple tasks efficiently, and excellent judgment. Must be comfortable juggling tasks from the mundane to the more strategic and have the ability to work productively in a fast-paced, team-oriented environment. The candidate will primarily work in a support role and oversee many administrative tasks as needed.

DUTIES AND RESPONSIBILITIES

  • Transmit all executed subcontracts and change orders.
  • Execute, file and track legal documentation for contracts, subcontracts, bid documents, etc.
  • Create presentations, reports, and documents using PowerPoint and digital graphics.
  • Design and coordinate marketing concepts for projects which include, but are not limited to, graphic design logos, incentive awards, jackets, hats, and shirts
  • Assist with sponsorship and donation marketing items.
  • Maintain and order all office supplies, books, magazines, and subscriptions for all departments.
  • Assists with special events planning.
  • Maintain Conference Room for meetings.
  • Compile holiday season list and mailing.
  • Coordinate and organize meeting breakfasts and lunch.
  • Administrative liaison with others within and outside the company (i.e. clients, project team members, etc.) handling activities such as project follow up, information retrieval, and communicating information updates.
  • Prepare and type correspondence for approval.
  • Coordinating meetings and appointments.
  • Handle travel arrangements and preparing itineraries, including guest arrangements.
  • Schedule management.
  • Prepare and track all state and city electrical license renewals and misc. licenses.
EDUCATION AND EXPERIENCE
  • Technical/other training or better.
  • High School or better.
  • Approximately 4 years of related administrative experience preferred.

  • Proficiency in Word, Excel, and PowerPoint.
  • Must be people oriented and results driven.

PHYSICAL REQUIREMENTS
  • While performing the duties of this job, the employee is regularly required to talk and hear; move within the office to retrieve files and meet with employees in their offices or conference room.
  • Able to work at a computer (reading and keying) for extended periods of time.
  • Ability to lift up to 15 pounds.
  • This role requires communicating verbally and in writing one on one, in small groups, as well as presenting to larger groups of employees.
