CobbFendley is seeking an Administrative Assistant in our Miami, Florida office.


QUALIFICATIONS

The successful candidate’s most important qualifications include the following.
  • Minimum 2 years office experience, required.
  • Ability to handle multi-line phone system.
  • Proven self-starter with strong time management skills, ability to multi-task and prioritize, highly organized, strong attention to detail.
  • Excellent and accurate communication skills, both verbal and written.
  • Interpersonal skills with flexibility to work with a variety of team members to meet aggressive project schedules.
  • Proficiency with MS Office products, including Word, Excel, PowerPoint. Ability to learn Smart sheet
  • Knowledge of Deltek Vantage software, a plus.
  • Knowledge of the Consulting/Engineering industry, a plus.
  • Ability to be discreet and professional at all times.
  • Motivation to work in a dynamic environment with strict deadlines.
  • Desire to collaborate with professionals and clients to increase your industry knowledge and grow in your career.
  • Commitment to perform responsibilities consistent with industry standards to achieve department and company goals.
  • Interest in developing relationships with clients, partners, and local organizations to remain a trusted resource in the community.
  • Manage coordinating meetings, events for all employees in Florida

ESSENTIAL FUNCTIONS
  • Provide professional administrative support to multiple departments and employees within the organization.
  • Assist with bid packages, timesheets/expense reports in accordance with the scheduled due dates/times, scanning and correspondence.
  • Must be able to meet departmental project deadlines, which may include some overtime.
  • Filing and document preparation for all departments.
  • Maintain office and safety supplies for departments, coordinate calendars, assist with travel arrangements, order meals, schedule meetings and assist with planning for various departments.
  • Set up audio-visual equipment for meetings.
  • Printing, copying, and binding of materials as needed for all departments.
  • Serve as back-up to other department administrative assistants as needed.
  • Serve as a back-up to the receptionist and participate in the break and lunch rotation schedule, as well as reception absence coverage as required. Receptionist responsibilities include:
    • Meet and greet guests as they arrive in a professional manner.
    • Answer several phone lines.
    • Manage employee “in and out” spreadsheet.
    • Assist with maintaining/scheduling daily mail, Fed-Ex, and Courier services for office.
    • Assist in the scheduling of conference room use.
    • Maintain professional appearance of front office and conference rooms.
  • Work in a collaborative team environment and deliver accurate work product that is error free.
  • Adhere to CobbFendley’s safety standards to uphold a safe and efficient environment.
  • Maintain a professional attitude and fulfill responsibilities with integrity.

PHYSICAL REQUIREMENTS
  • Sitting and/or standing for extended periods of time.
  • Mobility within the office including movement between floors and workstations.
  • Repeated motions (e.g., typing, reaching, bending, lifting, and carrying).
  • Communication with other employees and clients.


ENVIRONMENTAL FACTORS
  • Most work is performed in a professional office environment.
  • Job site observations factors could include: walking and climbing on uneven surfaces, exposure to outdoor environments and extreme weather (heat and freezing temperatures), noise exposure, driving for extended periods of time, exposure to allergens (e.g., pollen, dust, cedar, sumac, poison ivy), exposure to construction and traffic work zones, possible hand and power tool use, and extended periods of Personal Protective Equipment use.
  • Extended use of electronic devices (e.g., computers, printers, copiers, scanners, plotters, and telephones).
  • Use of cutting tools and equipment (e.g., plotting equipment, rotary paper cutter).


EXPECTED HOURS OF WORK

  • This is a full-time position. Standard business hours of work are Monday through Friday, 7:30 AM to 4:30 PM CST.
