About the Position:

The Administrative Assistant is a highly visible front office position that is responsible for providing administrative support for the Department of Psychology, including greeting visitors to the department and Psychology Clinic, assisting the Chair, Director of Graduate Studies, and Director Undergraduate Studies, and the smooth running of the undergraduate and graduate program.

Essential Functions:

  • Provide department wide assistance, including answer phone, make bank deposits, assist with building maintenance requests, issues keys. Greet visitors, assist with inventory of computers and equipment, assist with IT tickets for services, maintain copiers, assist with permission requests to servers, Box. Pick up and distribute mail. Provide assistance for events (graduate student recruiting and graduation). Assist with monthly supply orders and room scheduling.
  • Provide support for the Chair, Directors of Graduate Studies & Undergraduate Studies, including assisting with graduate program issues, job search (acknowledgement emails, uploaded to Box), provide help on an as-need basis, take minutes at faculty meetings, create department newsletter, post news on department's blog and update department's website.
  • Provide support for faculty including, assisting in sending email announcements, scheduling meetings and rooms, grade change requests, payment requests and proctor make-up exam days and individual faculty make-up tests.
  • Provide support for undergraduate and graduate students including, assisting with employment/background check forms, permissions to enroll in classes, prepare for graduation and process thesis, dissertation reports and other student records.
  • Provide support for the Psychology Clinic including answer phone calls for the clinic, greet clients on their arrival, provide paid invoices if requested, record and process payments to clinic, schedule new clients on the waitlist and deposit funds to bank.


Qualifications

Education and Experience:

A high school diploma or equivalent is required. Bachelor's degree is preferred.

A minimum for three years of work experience providing administrative experience is required, preferably in an office environment. Work experience in higher education is preferred.

Knowledge, Skills and Abilities:

Candidate must demonstrate strong interpersonal and verbal communication skills, with the ability to communicate broadly across the University and develop and maintain effective relationships with a wide range of constituencies. Must also demonstrate strong written communication skills.

Candidate must possess strong problem-solving skills with the ability to identify and analyze problems, as well as devise solutions. Must also have strong organizational, planning and time management skills.

Candidate must have a strong commitment to confidentiality and professionalism, as the person in this role will be called on to handle confidential information with discretion. An understanding of how universities are structured and operate is preferred.

Candidate must demonstrate proficiency in MS Word, MS Excel, and strong grammar and spelling skills. A working knowledge of MS Outlook is essential. A working knowledge of and/or experience with Sitecore and Peoplesoft is preferred.
