Admin Specialist IThe Division of Biology at the University of Tennessee, Knoxville invites applications for the Administrative Specialist 1 position within the Division of Biology. This is a non-exempt, 12-month, full-time, non-tenure track staff position. Knoxville and the surrounding counties have a population of more than 850,000 people.The Division of Biology:The Division of Biology houses three different departments: Microbiology, Ecology and Evolutionary Biology, and Biochemistry, Molecular, and Cellular Biology. The Division is home to over 1,000 faculty, staff, and students. These researchers are actively engaged in scientific exploration, including field studies throughout the world.  The Position: The Division of Biology at the University of Tennessee, Knoxville, seeks an Administrative Specialist who will work directly with the Director of Biology Teaching and Learning, the Biology Business Office (BBO), Biology Service Facility (BSF), Genome Core, Animal Facilities and the Heads of the departments of Biochemistry, Cellular and Molecular Biology (BCMB), Ecology and Evolutionary Biology (EEB), and Microbiology. As the only administrative specialist in the Division of Biology office, there is no sub-division of job duties. This position provides central services for 45-50 employees in the Division and support units (Biology Business Office, Biology Service Facility, Genome Core, Microscopy, and Animal Facilities). This position is responsible for all the administrative and personnel office functions. This position also provides support for the Director of Biology Teaching and Learning and core biological sciences curriculum. Additional services and communication between the other Biological Sciences departments (Ecology and Evolutionary Biology, Biochemistry and Cellular and Molecular Biology, Microbiology, and Genome Science and Technology) when requested.

Qualifications
PRIMARY RESPONSIBILITIES

  • Greet public in a front office setting; direct incoming calls; process mail; respond to website inquiries;
  • create and edit correspondence; maintain office equipment; order supplies; assist building
  • occupants with access to labs and offices; point of contact for building problems
  • Maintain directory for ~ 400 faculty, staff, and graduate students for the purpose of interdepartmental
  • communications
  • Perform departmental specialist duties - process time entry, personnel, and travel transactions in
  • IRIS for Division employees; process hiring paperwork, terminations, and searches in TALEO;
  • process faculty appointment paperwork; maintain personnel files
  • Process miscellaneous forms and transactions - Conflict of Interest forms, annual performance
  • reviews, raise notifications, key requests, motor pool requests, petty cash reimbursements, parking
  • tags
  • Review business and personnel transactions in IRIS; assist business manager during salary budget
  • period; assist with equipment inventory; review monthly reports to check accuracy of phone and
  • data port charges; reconcile monthly copier charges
  • Generate advising reports in ARGOS and maintain records for Biological Sciences advising staff;
  • maintain advisee directory to notify majors of academic/employment opportunities; assist majors
  • with questions regarding the biological sciences major; assist students with registration problems for
  • BIOL courses; plan and administer Biology Majors’ Field Test
  • Provide support for faculty teaching General Biology courses; assist with grade processing and test
  • analysis as needed; proctor make-up exams
  • Provide administrative support to the Director of Biology Teaching and Learning; assist with CIP and
  • summer school budget planning/reporting; manage summer surplus budget; generate reports and
  • maintain records for SACS for the Biological Sciences Major – SAIS reports, enrollment data, faculty
  • syllabi, and grade distributions
  • Process annual graduate student award applications and monetary awards
  • Organize Division events – Fall welcome picnic and spring graduation picnic, retirement receptions,
  • seminars, orientations and workshops, and other departmental functions
  • Oversee biology majors study room and supervise work study students
  • Other duties as assigned
REQUIRED QUALIFICATIONS: Education:
    High School Diploma or equivalent
Experience:
    At least 3-4 years of experience in generalExperience with IRIS/SAPMS Office SoftwareEffective communication skills (written and verbal)Ability to prioritize, multi-task, and work both independently and as a team member
Knowledge, Skills, and Abilities:
    Knowledge of basic file and database management procedures.Customer service skills.Basic financial/accounting skills.Microsoft Office skills.Ability to work independently.Ability to be flexible.Ability to multi-task.
Preferred Knowledge, Skills, and Abilities:
    Knowledge of IRIS, Banner, and ARGOS systems.Knowledge of University personnel and HR procedures and policy.Knowledge of University travel procedures and policy.
PREFERRED QUALIFICATIONS:
    Office experience in an academic setting.Bachelor’s Degree.
SALARY:
    Commensurate with experience and other qualifications.
