Job Summary
Under the general supervision of the Accountant I, the Accounting Officer performs a variety of tasks for the efficient operation of the Carl R. Woese Institute for Genomic Biology

Duties & Responsibilities

  • Acts as primary departmental Chrome River Manager Reviewer applying knowledge and expertise of OBFS policies.
  • Download monthly EDDIE statements and reconciles to internal shadow system. Data entry of financial information to departmental database, making necessary adjustments and reviews for accuracy. Assists in fiscal year end close out.
  • Assists the IGB Purchasing Group with the timely purchase of goods, services, and equipment utilizing departmental P-Card, T-Card and iBuy procurement applications. Work closely with appropriate OBFS office to facilitate and resolve issues with purchases and payments in an accurate and timely manner. Resolve aging encumbrances. Renew and maintain assigned standing purchase orders.
  • Manages group calendar, schedules meetings when requested using various applications and vacation coverage for in-person customer service functions within the IGB Business office.
  • Serves as back-up to daily IGB Café cash counts, daily deposits, and preparing deposits.
  • Assists with the organization and filing for Business Office documentation. This includes scanning and archiving prior fiscal years and establishing files for new fiscal year.
  • Attends training sessions to increase knowledge and /or skills related to assigned duties. Performs other related duties as assigned.
  • Additional Physical Demands
    Work is performed in a shared office; nature of work is sedentary. Much of the work is performed on the computer. Position involves delivering time critical paperwork to other campus offices (e.g. to Payroll Office, Academic Human Resources, Staff Human Resources, etc.).

    Minimum Qualifications
    1. High school diploma or equivalent.
    2. Any one or combination totaling two (2) years (24 months) from the categories below:
      1. Course work in accounting, as measured by the following conversion table or its proportional equivalent:
        • 9 semester hours equals two (2) years (24 months)
      2. Course work in any discipline as measured by the following conversion table or its proportional equivalent:
        • 30 semester hours equals one (1) year (12 months)
        • Associate's Degree (60 semester hours) equals eighteen (18) months
        • 90 semester hours equals two (2) years (24 months)
      3. Work experience in bookkeeping, office support, or closely related experience.

    Knowledge, Skills and Abilities
  • 1.Knowledge and Skills Required for the Job
  • This position required a working knowledge of routine office practices and procedures, the ability to operate standard office equipment, the ability to maintain confidential files and records, the ability to make arithmetic calculations, and the ability to reconcile records. In addition, employee should be skilled in oral and written communication.
  • 2.Responsibility
  • The individual in this position works under general supervision. Work is reviewed on a periodic basis by supervisor in accordance with University operating procedures. Many duties involved fall under the University of Illinois General Policy and Guidelines and the Campus Administrative Manual.
  • 3.Difficulty
  • This position involves a wide range of duties and maintains confidential personnel files. Workload is fast-paced, with many interruptions from Institute faculty, staff, students, and others. This position has an impact on operations throughout the IGB that effect faculty members, graduate students, other employees, and visitors.
  • 4.Personal Relationships
  • Includes face-to-face contacts, telephone contact, written communication, and electronic communication with co-workers, students, and faculty/staff. Ability to work with persons of diverse backgrounds is extremely important as this position deals with faculty, staff, students, and visitors from many different cultures.
  • Appointment Information
    This is a 100% full-time Civil Service 3852 - Accounting Officer position, appointed on a 12-month basis. The expected start date is as soon as possible after the search closes. Hybrid schedule work schedule after initial training period.
