Job Description
Job Summary:
The Academic Administrator provides administrative and operational support for the Computer Science Department, Engineering and Media Arts & Sciences. The administrator supports the chairperson of Computer Science, Engineering Director and Media Arts & Sciences Co-Director and the teaching needs of the departmental faculty members and student inquiries. Specific responsibilities include managing the budget and accounts payable; overseeing faculty grants and student expenditures, supervising work-study students; coordinating the hiring process for new faculty; planning, publicizing and overseeing department events; preparing materials for department meetings, taking meeting minutes, assist with curriculum planning and course scheduling. Provides administrative support to the research assistants and students in the HCI laboratory. Also provides support for special projects, including (but not limited to) Computer Science fall and spring poster sessions, Grace Hopper Conference and Summer Research.

Schedule: 35 hours per week, 10 months.

Primary Position Responsibilities:

  • Provides operational support for faculty and staff in these areas and provides continuity during transitions of department chairs.
  • Budget and fiscal management; responsible for processing all budgetary transactions in a timely manner, reconciling the budget, and providing analysis of spending within the budget. Administers endowed funds and grants that support teaching and research programs.
  • In consultation with the chair and co-director, prepares curriculum and staffing documentation and maintains student records.
  • Responsible for arranging logistics for meetings and special events.
  • Managing the day to day responsibilities of the office; answering telephone and email inquiries, sending communications via email, calendar management and space reservations, ordering and maintaining stock of office supplies.
  • Assumes additional responsibilities and special projects as necessary
Supervisor Responsibilities:
  • Work study students.
Education Required:
  • Bachelor's degree preferred
Experience Required:
  • 3+ years of administrative experience in higher education or business.
Skills and Abilities Required:
  • Strong computer skills and thorough knowledge of MS Office (Word, Excel, Power Point, etc) and Google applications (calendar, documents, etc).
  • Ability to multi-task and work closely with a colleague on a daily basis.
  • Excellent interpersonal and written communication skills required, prior accounting experience desirable.
  • Must be able to work effectively in a culturally diverse environment.
  • Office Management skills and attention to detail
  • Ability to work independently and to seek out answers from others at the college.
